Bspoke Title Holdings manages a dynamic and growing escrow company committed to providing exceptional real estate closing services. We pride ourselves on our dedication to accuracy, efficiency, and outstanding customer service. We are currently seeking a highly motivated and detail-oriented Escrow Assistant to join our dynamic team in the San Antonio area.

Job Summary:

We are seeking a detail-oriented and highly organized Escrow Assistant to provide crucial administrative and operational support to our Escrow Officers. The ideal candidate will be a proactive team player with excellent communication and problem-solving skills, capable of managing multiple tasks in a fast-paced environment. As an Escrow Assistant, you will play a vital role in ensuring smooth and efficient real estate transactions by assisting with the preparation, processing, and closing of escrow accounts.

Responsibilities:

  • Assist Escrow Officers in all aspects of the escrow process, from initial setup to final disbursement.
  • Prepare and process escrow documents, including but not limited to opening packages, closing statements, deeds, and loan documents, with accuracy and efficiency.
  • Maintain and organize escrow files, ensuring all documents are properly executed, tracked, and stored in compliance with company policies and legal requirements.
  • Communicate effectively and professionally with clients, lenders, real estate agents, and other parties involved in the transaction, providing timely updates and responding to inquiries.
  • Coordinate and schedule signings, notary services, and other appointments as needed.
  • Assist with the preparation of wire transfers, checks, and other disbursements.
  • Review title commitments and exception documents, identifying potential issues and escalating them to the Escrow Officer.
  • Ensure all necessary conditions of the escrow agreement are met prior to closing.
  • Assist with post-closing tasks, such as recording documents and preparing final title policies.
  • Maintain a high level of confidentiality regarding sensitive financial and personal information.
  • Provide general administrative support, including answering phones, managing emails, photocopying, and maintaining office supplies.
  • Stay up-to-date on relevant industry regulations and best practices.
  • Perform other duties as assigned by the Escrow Officer or management.

Qualifications:

  • At least 2-3 years of experience in an administrative role, preferably in the real estate, title, or escrow industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to prioritize tasks, manage time effectively, and meet deadlines in a fast-paced environment.
  • Exceptional customer service skills and a professional demeanor.
  • Ability to work independently and as part of a team.
  • Knowledge of basic escrow principles and procedures is a plus.
  • Familiarity with relevant software and technology used in the escrow process is a plus.
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
