Job Description - Escrow Assistant (2502019)

Position: Escrow Assistant

Location: Financial Services Escrow Branch

Position Summary:

The Escrow Assistant will be responsible for the timely preparation of escrow files and the ordering of all necessary information for closing escrow transactions.

Essential Duties and Responsibilities:

  1. Perform all tasks of the Escrow Receptionist.
  2. Prepare and send opening letters and acknowledgments to all parties.
  3. Order title commitments and distribute them accordingly.
  4. Order and update payoff/assumption statements as requested.
  5. Prepare receipts for all funds received from customers and lenders.
  6. Order wire transfers and provide wiring instructions.
  7. Prepare loan packages for return to lenders.
  8. Prepare simple cash and seller carryback pre-audits.
  9. Assist branch manager with administrative tasks as needed.
  10. Open refinance orders.
  11. Coordinate and schedule closings, including obtaining reports, surveys, hazard insurance, HOA information, and scheduling times.
  12. Prepare copies for disbursement and closing transmittals.
  13. Assist with final policy disbursement as directed.
  14. Monitor inspection requests and other required inspections.
  15. Handle customer and real estate agent inquiries regarding transaction status.
  16. Cancel files according to office procedures.

Post-Closing Responsibilities:

  1. Verify accuracy of pre-closing files against original purchase contracts.
  2. Prepare and ship complete closing packages.
  3. Prepare documents for recording in various counties, ensuring compliance with regulations.
  4. Prepare and mail Loan and Owner's Policies and endorsements.
  5. Maintain control of closing files and office supplies.
  6. Provide customer service via phone to lenders, buyers, attorneys, realtors, and insurance companies.

Qualifications:

Education and Experience: Associate's degree or equivalent from a two-year college or technical school, or six months to one year of related experience and/or training, or an equivalent combination of education and experience.
