Job summary

AMA Consulting, LLC, a Maryland-based firm, seeks an experienced Electronic Records Management System (ERMS) Solution Architect to support a Federal ERMS modernization initiative.

The ERMS Solution Architect will lead design, configuration, and implementation of a COTS ERMS, driving Microsoft 365 integration, data migration, retention policies, and security modeling to ensure compliant, enterprise-wide records management across agencies.

Qualifications

  • Bachelor's degree in Information Technology, Computer Science, Information Systems, Records Management, or a related field.
  • 10+ years of experience designing, implementing, or configuring enterprise ERMS.
  • Experience with COTS enterprise software solutions and integrating with Microsoft 365 technologies (SharePoint Online, Exchange Online, Teams).
  • Experience configuring records management workflows, metadata, retention schedules, disposition policies, dashboards, security settings, and system integrations.
  • Experience supporting enterprise data migration, cloud-based applications, and post-implementation enhancements.
  • Working knowledge of NARA, Capstone, GRS, DoD 5015.2, and Federal records management requirements.
  • Experience supporting Federal Government clients with strong analytical, problem-solving, and stakeholder engagement skills.

Responsibilities

  • Solution Architecture & System Design for ERMS.
  • Lead design, configuration, and implementation of a COTS ERMS.
  • Develop enterprise architecture for electronic records management, 365 integration, and cloud-based modernization.
  • Design records workflows, metadata, retention schedules, disposition rules, dashboards, and security models.
  • Microsoft 365 integration with SharePoint Online, Exchange Online, and Teams.
  • Configure system settings, workflows, permissions, APIs, and integrations.
  • Support system upgrades, troubleshooting, optimization, and post-production enhancements.
  • Lead data and email migration activities with data integrity and compliance.
  • Support testing, training, documentation, and ongoing operational support.
  • Collaborate with Records Managers, M365 Administrators, Information Governance professionals, and client stakeholders.

Job description

AMA Consulting, LLC, a Maryland-based consulting firm, provides records management, information governance, digital transformation, and program management services to Federal agencies. We are seeking an experienced Electronic Records Management System (ERMS) Solution Architect to support a Federal Electronic Records Management modernization initiative.


The ERMS Solution Architect will serve as the technical lead responsible for designing, configuring, implementing, and optimizing a Commercial Off-the-Shelf (COTS) Electronic Records Management System (ERMS). This position will lead Microsoft 365 integration, records management configuration, data migration, workflow development, retention and disposition architecture, testing, and post-implementation enhancements to support an enterprise-wide electronic records management solution. The solution will support cloud-based records management, Microsoft 365 integration, records migration, and compliance with Federal records management requirements, including NARA, Capstone, and DoD 5015.2.


Key Responsibilities


  • Solution Architecture & System Design

  • Lead the design, configuration, and implementation of a Commercial Off-the-Shelf (COTS) Electronic Records Management System (ERMS).

  • Develop enterprise solution architecture supporting electronic records management, Microsoft 365 integration, and cloud-based records modernization.

  • Design records management workflows, metadata structures, retention schedules, disposition rules, dashboards, and security models.

  • Microsoft 365 Integration

  • Configure and integrate the ERMS with Microsoft 365 services, including SharePoint Online, Exchange Online, Teams, and related collaboration platforms.

  • Configure system settings, workflows, permissions, APIs, and integration points to support enterprise records management.

  • Support system upgrades, troubleshooting, optimization, and post-production enhancements.

  • Records Management Implementation

  • Configure records lifecycle management, retention and disposition policies, Capstone implementation, General Records Schedules (GRS), and agency-specific records schedules.

  • Lead legacy data and email migration activities while ensuring data integrity and regulatory compliance.

  • Support system testing, user acceptance testing, training, technical documentation, and ongoing operational support.

  • Collaborate with Records Managers, Microsoft 365 Administrators, Information Governance professionals, and client stakeholders throughout the implementation lifecycle.


Required Qualifications

  • Experience supporting Federal Government clients with excellent analytical, problem-solving, communication, and stakeholder engagement skills.


Security Clearance

Must be able to obtain and maintain a Public Trust clearance.
