The Equipment/Logistics Coordinator supports the mechanical and operations team by managing all administrative, logistical, and documentation functions related to company-owned or rented equipment. This role ensures construction equipment is properly tracked, maintained, dispatched, and documented to keep projects productive, compliant, and cost-efficient.
Position works fully on-site Monday - Friday in Maitland, FL office.
Core Duties & Responsibilities
Equipment Tracking & Asset Management
- Maintain an up-to-date equipment inventory in responsible business units.
- Track equipment location across job sites and yards.
- Maintain asset records, serial numbers, usage hours, and lifecycle data.
- Play a leading role in administration of Light Vehicle Fleet Management
Work Order & Maintenance Administration
- Enter, schedule, and track preventive and corrective maintenance work orders.
- Maintain service logs, inspection reports, and maintenance history in Computerized Maintenance Management System (CMMS).
- Coordinate with mechanics, shop managers, and field supervisors.
- Collect and input weekly speed meter readings into ERP.
Rental & Procurement Coordination
- Reconcile rental assets in Telematics software for accuracy.
- Coordinate Telematics activation with OEM’s and individual dealerships on new assets delivered to the project sites.
- Assist in creation of Procurement Requisitions and amendments.
Compliance & Safety Documentation
- Maintain documentation for inspections, certifications, DOT records, and safety compliance.
Logistics & Dispatch Support
- Coordinate daily transport with internal drivers or external hauling vendors.
- Ensure proper documentation accompanies transported equipment.
Administrative & Office Support
- Manage equipment files, manuals, and documentation systems (paper or digital).
- Assist the Equipment Manager with reporting, audits, and process improvements.
Required Skills & Qualifications
- Experience in construction equipment management, fleet administration, or related fields.
- Proficient in Microsoft Office.
- Strong organizational and record-keeping skills.
- Familiarity with heavy construction equipment types and terminology.
- Ability to read inspection reports, maintenance logs, and technical documents.
- Proficiency in CMMS/fleet software and Excel.Strong communication skills for coordination with field, shop, and vendors.
Optional Certifications
- AEMP (Association of Equipment Management Professionals) certifications
- OSHA 10 or OSHA 30
- DOT compliance training (depending on company)
