About the Role:

We are hiring an Equipment & Fleet Coordinator to join our Operations team, reporting to the Director of Operations. This role is responsible for the maintenance, safety compliance, and lifecycle coordination of all company vehicles and field equipment supporting security operations across the company's client portfolio. The Equipment & Fleet Coordinator ensures officers and supervisors have reliable, properly equipped patrol vehicles and gear, manages vendor relationships, controls equipment and fleet costs, and maintains accurate inventory and compliance records. The ideal candidate brings strong organizational discipline and a background that supports operational reliability in a 24/7 security services environment.

Key Responsibilities:
Fleet Management
  • Assist leadership with the full vehicle lifecycle (registration, titling, insurance coordination, preventive maintenance, and disposal/resale) for company marked and unmarked patrol vehicles.
  • Develop and maintain a preventive maintenance schedule for all vehicles; coordinate repairs with approved vendors to minimize vehicle downtime.
  • Track fleet utilization, mileage, fuel costs, and maintenance spend by account/contract to support cost-recovery decisions.
  • Maintain vehicle assignment records, ensuring vehicles are matched appropriately to contract requirements (marked patrol, unmarked response, executive/admin use).
  • Manage fuel card programs, GPS/telematics systems, and dash-cam or in-vehicle technology; monitor for misuse and safety trends.
  • Coordinate vehicle branding, decal application/removal, and upfitting (light bars, partitions, radio mounts) with outside vendors.
  • Ensure all vehicles meet state and local regulatory requirements, including inspections, emissions, and registration renewals.
  • Assist leadership with vehicle accidents/incident investigations, insurance claims, and driver corrective action follow-up.
Equipment Management
  • Manage procurement, issuance, tracking, and return of officer equipment, including uniforms, duty gear, radios, body cameras, flashlights, and other field-issued equipment.
  • Maintain an accurate, auditable inventory system for all equipment assets, including assignment history and condition tracking.
  • Establish and enforce equipment issuance and turn-in procedures for new hires, transfers, and separations to minimize loss and shrinkage.
  • Coordinate radio and communications equipment programming, repair, and licensing with IT/communications vendors.
  • Monitor equipment lifecycle and replacement schedules to identify upcoming replacement needs.
  • Ensure compliance with any client contract-specific equipment requirements (e.g., specific uniform standards, marked vehicle specifications).
Vendor Management
  • Manage relationships with maintenance/repair vendors, uniform suppliers, and equipment manufacturers; assist leadership with vehicle dealer relationships as needed.
  • Identify cost-saving opportunities across fleet and equipment spend without compromising officer safety or readiness.
  • Prepare regular reports for leadership on fleet/equipment spend, utilization, and risk trends.
Compliance & Safety
  • Maintain compliance with company safety policy and applicable state/local vehicle laws.
  • Conduct or coordinate periodic vehicle and equipment audits across all account locations.
  • Partner with HR and Operations on driver qualification standards (MVR checks, driver training) and corrective action for policy violations.
  • Maintain documentation required for insurance audits, client audits, and contract compliance reviews.
Education and Experience:
  • Experience in fleet management, equipment/asset management, logistics, or a related operations role
  • Strong organizational skills with experience managing inventory systems, spreadsheets, or asset-management software
  • Proficiency with Microsoft Excel and standard office software; experience with fleet telematics or CMMS platforms a plus
  • High attention to detail and ability to manage multiple vendors, schedules, and compliance deadlines while maintaining clear, consistent communication with stakeholders
Required Qualifications:
  • Valid driver's license with a clean driving record
  • Ability to travel periodically to client sites and company locations across the Northern Colorado/Denver metro service area
  • Successfully pass background check and MVR
  • Prior experience in security services, law enforcement, military, or another 24/7 operational environment preferred
  • Experience managing uniformed personnel equipment programs preferred
  • Experience supporting multi-contract or multi-site operations preferred
Physical Requirements:
  • Ability to lift/carry equipment up to 40 lbs.
  • Ability to work occasional evenings/weekends or be reachable for fleet emergencies (accidents, breakdowns) outside normal business hours.
  • Regular local travel between the office, vendor locations, and client sites.
