EOC Administrative Coordinator - Executive Office (BEOC)
The State University of New York Brooklyn Educational Opportunity Center (BEOC), administered by New York City College of Technology/CUNY, provides tuition-free academic and workforce development training to eligible New York State residents, supporting college access, employment, and economic self-sufficiency.
Reporting to the Executive Director, the EOC Administrative Coordinator – Executive Office provides confidential administrative, correspondence, meeting, and project support. The position organizes executive priorities, commitments, and deadlines and coordinates follow-up across the Center under the Executive Director's direction to support effective planning, communication, and timely completion of assignments.
In addition to the CUNY Title Overview, responsibilities include:
Coordinate the Executive Director's calendar, appointments, meeting requests, and travel arrangements; align scheduling with established priorities and prepare schedules, briefing materials, and timely reminders.
As directed, arrange leadership and partner meetings, including agendas, materials, logistics, minutes, action items, assigned responsibilities, deadlines, and follow-up with responsible staff.
Draft, proofread, and format correspondence, reports, presentations, memoranda, and other documents; compile departmental information for the Executive Director's review and approval.
Maintain a central tracker of Executive Office projects, assignments, deadlines, and requests; obtain departmental updates, document completion, and flag delays or unresolved matters to the Executive Director.
Coordinate administrative communication and follow-up with SUNY, City Tech, elected officials, community organizations, and external partners as directed.
Maintain confidential electronic and physical records, contact lists, correspondence files, and approved shared-document systems using consistent filing, version control, and appropriate access controls.
Coordinate administrative logistics for executive visits, institutional events, and special assignments with Operations, Communications, Academic Affairs, Student Services, and other departments as directed.
Prepare Executive Office purchasing, invoice, travel, and personnel-support paperwork; check completeness, route requests for authorized approval, and track completion.
Serve as an administrative point of contact for the Executive Office, respond to routine inquiries, and refer substantive matters and approval decisions to the Executive Director or responsible official.
Bachelor's degree required.
Two or more years of progressively responsible executive, administrative, higher-education, public-sector, or project-support experience preferred.
Excellent writing, scheduling, organization, judgment, discretion, and follow-through; ability to manage confidential and time-sensitive matters.
Strong proficiency with word processing, spreadsheets, presentations, calendars, collaboration tools, and electronic records management.
Supports projects, initiatives, and activities within an Educational Opportunity Center (EOC).
Organizes office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information
Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software
Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections
Conducts internet and/or database research and performs basic systems queries to locate information related to department activities
Maintains department fiscal plans and budgets; assists in budget administration and invoice processing
Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department
May supervise office staff and student workers
Performs related duties as assigned.
