Job summary

Oakton College is seeking a customer-focused Enrollment Center Associate to provide timely information and support to students, staff, and the Oakton community. You will help with registration, residency status, holds, and payments, delivering high-level service to advance enrollment goals.

The role involves frontline customer service across Des Plaines and Skokie campuses, with exposure to Banner, Banner Financial Aid, OnBase, and CRM tools.

Qualifications

  • Associate's degree required or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.
  • Two years of general office experience is required. Higher education experience is preferred.
  • Demonstrated ability and desire to work and interact directly with students with a strong dedication to customer service, problem solving, organization, and attention to detail.
  • Must be able to work independently as well as part of a cohesive team.
  • Ability to interact professionally and tactfully with people of different levels of education, cultural backgrounds, and life experiences, and to exhibit an adequate level of respect to fellow employees and the College community at large.
  • Experience with customer service technologies and willingness to learn, with preferred experience with the TargetX CRM, chat bot, Banner, Banner Financial Aid, OnBase, and Google Suite.
  • Ability to travel to and work on different campuses as needed.

Responsibilities

  • Greet and welcome students, parents, visitors, faculty, staff, and community members who visit the Enrollment Center with a friendly, service-oriented attitude.
  • Assist students in person or virtually, via appointment or on-demand when they contact the Enrollment Center.
  • Act as an expert representing Admission, Academic Advising, Registration, Financial Assistance, and Student Records by providing accurate information by telephone, email, chatbot, website, or in person.
  • Provide information related to a student\'s account, make changes to a student\'s record, and refer to another department as needed.
  • Offer educational assistance to students related to enrollment services functions that support admission, registration, and payment activities.
  • Proactively review a student\'s account to determine residency status and billing rate and provide options for in-district tuition rate.
  • Provide students information related to holds, refunds, payment options, and other information related to registration.
  • Assist with training and limited functional supervision of student employees.
  • Provide outreach to students via personalized email and/or call campaigns about deadlines and enrollment-related information.
  • Follow up with students on registration, payment and other enrollment-related tasks.
  • Perform other job related duties as assigned.

Job Description:
Basic Function and Responsibilities:

Reporting to the Manager of Enrollment Services, provides timely, accurate information and assistance to students, staff, and the Oakton community. Delivers comprehensive general information regarding all aspects of college procedures, programs, and services that pertain to the enrollment process. Responsible for registration of students in courses according to established guidelines which may require some judgment in the application of policies and procedures. Provides excellent customer service in a visible, high impact manner that directly influences enrollment goals.

Characteristic Duties and Responsibilities:
  • Greet and welcome students, parents, visitors, faculty, staff,and community members who visit the Enrollment Center with afriendly, service-oriented attitude. Assist students in person orvirtually, via appointment or on-demand when they contact theEnrollment Center.
  • Act as an expert representing Admission, Academic Advising,Registration, Financial Assistance, and Student Records byproviding accurate information to students and the community viatelephone, electronic communication channels (e.g., email, chatbot, website), or in-person. Provide relevant information relatedto a student's account, make changes to a student's record, and/orrefer to another department/individual as needed.
  • Offer educational assistance to students related to enrollmentservices functions that support admission, registration, andpayment activities.
  • Proactively review a student's account to determine theirresidency status and billing rate and provides options forobtaining the in-district tuition rate. Provide students withinformation related to holds, refunds, payment options, and otherinformation related to the financial obligations associated withregistration.
  • Intermediate knowledge of student systems, including Banner,Banner Financial Aid, CampusLogic, OnBase, TargetX, chat bot, andother technology related to student records. Identify and reporttechnical issues, troubleshoot student technical issues, and referto IT Help Desk as needed.
  • Assist with the training and limited functional supervision ofstudent employees.
  • Provide intentional outreach to students via personalized emailand/or call campaigns to inform students about deadlines and otherimportant enrollment-related information. Follows up with students,as needed, in relation to registration, payment and otherenrollment-related tasks.
  • Perform other job related duties as assigned.
Supervision Received:

Administrative supervision is received from the Manager of Enrollment Services.

Supervision Exercised:

Functional supervision exercised over student employees.

Physical Demands:

Light lifting up to 10 lbs and light carrying up to 10 lbs. Abilityto reach above shoulder. Periods of time spent sitting, standing,walking, kneeling, bending and stooping. Mobility to move frombuilding to building on-campus and to visit off-campus entities.Work is performed in a general office environment and sedentary innature. Little or no exposure to adverse working conditions.

Additional Information:
HOURS:

Monday - Friday 8:15 am - 5:00 pm (Ability to workflexible hours at both the Skokie and Des Plaines campusesincluding some evening and/or weekend hours consistent with studentneeds)

SALARY:

The hourly salary of this position is $24.39 whichequates to $49,155 annualized based on Oakton's summer hoursschedule.

Based on the needs of the college and with Administrator approval,some positions at the college may have a hybrid schedule optionavailable after 30 working days.
