Overview
An enrollment specialist guides prospective students through the enrollment process, providing information, clarifying doubts, and ensuring a smooth experience, often serving as the first point of contact for those interested in the university.
Responsibilities
- Guiding Prospective Students: Help prospective students understand the requirements, processes, and policies related to enrollment.
- Information and Clarification: Answer questions, clarify doubts, and provide detailed information about the institution, programs, services, or courses.
- Application Processing: Ensure applications are completed correctly and that all required supporting materials are submitted in a timely fashion.
- Data Management: Enter, update, and review data and records related to enrollment.
- Communication: Correspond with applicants and prospective candidates, providing guidance and recommendations.
- Enrollment and Disenrollment: Process enrollments and withdrawals.
- Financial Aid and Billing: Assist with billing and payment processing, as well as providing information about financial aid and scholarships.
- Recruitment and Outreach: Participate in recruitment activities, such as college fairs, high school visits, campus tours, information sessions, as well as email, text and phone campaigns.
- Territory Management: Manage and report on all prospects, inquiries, applicants, admits and enrolled students from assigned territories.
- Stakeholder Engagement: Develop relationships with high school guidance counselors, teachers, transfer coordinators, etc. in assigned territories and train stakeholders such as presently enrolled students, faculty, staff, alumni and parents to assist with recruitment in assigned areas.
- Maintaining Records: Maintain student records and manage enrollment information.
- Problem Solving: Utilize critical thinking and problem-solving skills to address and resolve student issues.

Qualifications
- Knowledge of: recruitment goal setting and monitoring of targeted student populations.
- Knowledge of: student recruitment, inquiry management, and relationship-based marketing.
- Knowledge of: human relations and personnel practices.
- Knowledge of: Microsoft Office Suite, CRM’s, and student information systems (preferably Jenzabar, Spark451 & Element451).
- Knowledge of: successful customer service practices.
- Knowledge of: virtual outreach platforms.
Ability To
- Perform related work as required.
- Work well both independently and as part of a team with individuals with diverse backgrounds.
- Communicate clearly and respectfully, both orally and in writing.
- Must be willing to work evenings and weekends.
- Some travel is required. Must have a valid driver's license and access to a reliable vehicle. Driving record must be free of any moving violations.
- Ability to travel on short notice.
- Establish and maintain cooperative working relationships with those contacted in the course of work.

Minimum Education/Training
Bachelor’s degree in Business, Communications, or related field
Minimum Experience
One year of professional admissions/recruitment (or comparable) experience
Preferred Education/Training, Experience, Skills
- Community College experience preferred
- Bilingual in English/Spanish highly preferred
- Experience using a CRM preferred
- Experience presenting to large and small groups preferred
- Virtual outreach and tele-counseling experience preferred

This position requires flexible work hours, including evening and weekend work hours, as well as, in state and out of state travel. a valid Driver’s License that is free of any moving violations.
