Responsibilities

• Oversee the admissions office operations by maintaining electronic correspondence and documentation.
• Contact referral sources daily and update referral spreadsheets.
• Coordinate referrals, check online referrals, and schedule referral appointments.
• Initiate scheduled intakes for admissions counselors.
• Engage clients on waitlists and schedule appointments.
• Answer front desk calls and conduct preliminary triage; complete initial triage forms.
• Meet scheduling productivity goals as directed by the Program Manager and Program Director.
• Maintain and input daily updates on LADDS, OAD census and Service Point information for monthly/quarterly/annual reporting.

JobSummary

Odyssey House Louisiana, Inc. isseeking a full-time Engagement Specialist. The Engagement Specialist performs avariety of administrative tasks for New Orleans Inpatient Services. TheEngagement Specialist is responsible for scheduling and referral coordinationand follow through.

Responsibilities and Duties

It is the primary duty and responsibility of the EngagementSpecialist to:

• oversee the efficient operations ofthe admissions office by maintaining electronic correspondence (fax andcopier), memos, and other documentation;
• contact referral sources daily andupdate/maintain referral spreadsheets;
• coordinate referrals, check and followthrough with online referrals, and schedule referral appointments;
• initiate scheduled intakes foradmissions counselors;
• engage clients on waitlists andschedule appointments;
• answer and field all front desk callsand conduct preliminary triage;
• complete initial triage forms;
• meet scheduling productivity goals asdirected by the Program Manager andProgram Director;
• run and distributereports;
• maintain and input daily updates onLADDS, OAD census and Service Point information for monthly, quarterly andannual reporting requirements;
• conduct MEVS, background checks,UDS;
• distribute orientation booklets;
• coordinate viewing of mandatory Narcanvideo;
• update census and discharge reportsdaily
• participate in staff meeting whennecessary;
• perform other duties asassigned.

It is the secondary duty andresponsibility of the Engagement Specialist to:

• maintain and distribute office supplyinventory;
• screen incoming mail and draftresponses to inquiries for information concerned with matters of non-technicalnature and/or matter in which precedents are clear;
• maintain department’s records system,including filing and retrieving documents, researching files, etc…;
• maintain inactive treatmentfiles;
• maintain SharePoint files;
• receive and pass verbal and writtenfeedback to clinical, medical, and other Residential staff as requested aboutclient activity and behavior;
• complete all Incident Reports prior tothe end of scheduled shift as required by Incident Policy and Procedure;
• monitor client phone calls;
• assist with filing of clientdocumentation;
• contact the Program Manager in theevent of a fire or evacuation of the treatment facility as required;
• contact the Program Manager or the ClinicalServices Supervisor if the Police orother law enforcement officials come to the Agency;
• scan documentation into the ElectronicHealth Record;
• enter client information into thePractice Management System; and
• perform other duties asassigned.

Qualification and Skils:

Minimum qualifications include thefollowing:

• Proficient in MS Office Suite
• Excellent communication skills
• At least 6 months experience withsubstance abuse treatment

Preferred qualifications include thefollowing:

• Bachelor’s Degree in a human servicerelated field
• More than 2 years of substance abusetreatment experience
• At least 1 year of Electronic HealthRecord system experience
• At least 1 year of MS Accessexperience
• Knowledge of Narcotics Anonymous andAlcoholics Anonymous principles
