Responsibilities

  • Oversees daily administrative and operational functions.
  • Facilitates coordination between Energy Program Director, Finance, Outreach, Energy Program Managers, and other warehouses to ensure consistent operational practices and communication.
  • Implements and monitors internal policies, procedures, and workflows to improve organizational efficiency.
  • Manages office operations, facilities, equipment, and vendor/contract relationships.
  • Manages procurement processes at their regional location.
  • Ensures compliance with applicable federal, state, and local regulations, and internal policies.
  • Monitors and improves internal systems, including record keeping, technology tools, and communication practices.
  • Reviews and approves employee expense reports and timesheets.
  • Oversees regional vehicles, including maintenance, use, and compliance with applicable regulations.
  • Applies for and manages permits required for each client project dispatched from their warehouse location
  • Reviews and approves accounts payable (AP) transactions
  • Manages inventory for their warehouse location including but no limited to, ordering, receiving, organizing, and performing quarterly inventory counts.

Job description

The Energy Program Operations Manager oversees the day-to-day administrative and operational functions of their regional office/warehouse, ensuring efficient, compliant, and well-coordinated support. This role manages internal systems, facilities, procurement, and cross-departmental workflows, and serves as a key position between programs and administrative functions. The Operations Manager’s play a critical role in maintaining organizational effectiveness, supporting strategic initiatives, and fostering a collaborative, service-oriented culture across all operational functions and sub-programs at that location. This position requires strong judgment, discretion, and the ability to manage multiple priorities in a fast-paced, mission-driven environment.

Essential Duties and Responsibilities:
  • Oversees daily administrative and operational functions
  • Facilitates coordination between Energy Program Director, Finance, Outreach, Energy Program Managers, and other warehouses to ensure consistent operational practices and communication
  • Implements and monitors internal policies, procedures, and workflows to improve organizational efficiency
  • Manages office operations, facilities, equipment, and vendor/contract relationships

Minimum Qualifications:
  • Bachelor’s degree required. Preferably in Business Administration, Construction Management or a related field, or an equivalent combination of education and experience
  • Minimum of five (5) years of progressively responsible experience in operations, administration, or office management
  • Demonstrated experience supervising staff
  • Valid driver’s license and ability to travel to NWCCOG locations as needed
Knowledge, Skills, and Abilities (KSA’s):
  • Strong organizational and project management skills, with the ability to manage multiple priorities and deadlines
  • Proficiency with Microsoft Office Suite and standard administrative/financial software systems
  • Strong written and verbal communication skills
  • Sound judgment, discretion, and problem-solving abilities
  • Strong interpersonal skills and the ability to build effective relationships across diverse programs and stakeholders
  • Working knowledge of budgeting and basic financial management principles
  • Ability to maintain confidentiality in handling sensitive information
  • Ability to work independently and collaboratively in a dispersed, multi-location organization
Working Conditions:
  • Primarily an office/warehouse environment, with local and regional travel
  • Ability to sit for extended periods and use standard office equipment (computer, phone, copier)
  • Must be able to lifting of up to 25 lbs.
  • May require occasional evening or weekend work to support meetings or organizational events
