Job summary

Crowder is seeking a Benefits Coordinator to administer our employee benefits programs, including eligibility, enrollment, maintenance and claims resolution. As an employee advocate, you will guide employees and covered dependents and ensure HIPAA compliance.

You will handle Plansource, eligibility reports, dependent records, life events, vendor coordination, and wellness program support, while maintaining privacy and accurate records.

Qualifications

  • College degree in Human Resources or related field (or equivalent experience).
  • Strong knowledge of employee benefits administration and enrollment processes.
  • Ability to manage confidential information with discretion and professionalism.
  • Exceptional attention to detail and organizational skills, and accuracy.
  • Proficiency with Microsoft Office Suite; including Word, Excel, and Outlook.

Responsibilities

  • Upload and maintain weekly demographic/census changes in Plansource to synchronize OA employment data with the benefits enrollment system.
  • Administer employee benefit eligibility, enrollment, and maintenance processes.
  • Generate and review monthly eligibility reports to identify and confirm newly eligible employees (based on Benefit Types).
  • Maintain the third-party benefits enrollment portal, Plansource, ensuring employees have access to benefit information and can enroll in or manage their benefit elections throughout the plan year.
  • Communicate benefit eligibility and enrollment information to all eligible employees on a monthly basis and follow-up to ensure informed enrollment or waiver decisions.
  • Process employee benefit elections and declines within OA and benefits administration system.
  • Enter and maintain dependent records in OA following employee enrollment processing.
  • Process qualifying life events and status changes in accordance with plan provisions and established timelines.
  • Coordinate benefit changes resulting from employment classification changes and communicate changes to affected employee
  • Work with employees (and covered family members or employee designee) to resolve any benefit-related concerns (typically claims issues)
  • Provide back-up support to calculate and process benefit deduction adjustments resulting from late enrollments, missed payroll deductions, or other enrollment discrepancies.
  • Assist the Employee Service Benefit Manager with Crowder Wellness Programs, facilitating program administration, employee communications, participation tracking, and wellness-related activities.
  • Ensure the confidentiality, security, and proper handling of employee and dependent protected health information in accordance with HIPAA regulations and company privacy policies.

The Benefits Coordinator is responsible for administering the company’s employee benefits programs, including eligibility determination, enrollment processing, benefits maintenance, and claims resolution. Serving as an employee advocate, this role provides guidance and support to employees and their covered dependents regarding benefits-related matters while ensuring compliance with company policies and applicable regulations. The Benefits Coordinator also supports Employee Services initiatives and contributes to a positive employee experience through responsive customer service and accurate benefits administration.

Essential Duties and Responsibilities:

  • Verification and Compliance Support
  • Review and process DSS requests for information prior to the issuance of coverage orders.
  • Process dependent enrollments as directed by Medical Child Support Order
  • Ensure compliance with applicable state and federal requirements regarding medical child support coverage.
  • Complete employment verification requests in accordance with company procedures.
  • Provide backup support for Form I-9 employment ID eligibility verification processes.
  • Process employee changes through CTO, including (time-off updates, disciplinary actions, address/email changes, email updates, and other employment record maintenance)
  • Support employee termination processes, including benefit- related updates and coordination of required notifications.
  • Process 401(k), eligibility, enrollments, and participant election changes and updates received through the participant message center.
  • Maintain accurate participant information and respond to returned correspondence from retirement plan providers by researching and updating employee records
Additional Duties
  • Maintain accurateelectronic records and documentation related to employee benefits in DocuWare
  • Process weekly terminations report and coordinate the distribution of life insurance conversion and portability notices to affected employees.
  • Ensure compliance with company policies, plan documents and applicable federal and state regulations governing employee benefits.
  • Participate in ongoing training and education programs to stay current on employee benefit regulations, employment laws, HIPAA requirements, and company policies and procedures.
Employee Services Support
  • Support Employee Services and Corporate Services functions through cross-training, collaboration and teamwork.
  • Handle (or direct) incoming calls and concerns from employees (benefits, personnel, training, or any area within Corporate Services). Note: If you have to transfer the call, "follow the call" to ensure the employee's issue is addressed.
  • Act as a single point of contact for the employes, ensuring concerns are addressed in a timely manner.
  • Coordinate with internal departments and external vendors to resolve employee issues efficiently and professionally.
  • Verify the accuracy and completeness of documents scanned into DocuWare on a regular basis, no less than weekly.

Qualifications, & Experience:

  • College degree in Human Resources or related field (or equivalent experience)
  • Strong knowledge of employee benefits administration and enrollment processes.
  • Ability to manage confidential information with discretion and professionalism.
  • Exceptional attention to detail and organizational skills, and accuracy.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Proficiency with Microsoft Office Suite; including Word, Excel, and Outlook
  • Experience working with employees and managers from diverse backgrounds and locations.
