The Elementary Administrative Assistant serves as an essential member of the school’s front office and elementary administrative team for a Preschool–8th grade Christian school of approximately 540 students. This individual supports the Elementary Principal in the daily operation of the elementary division while helping cultivate a warm, organized, Christ-centered environment for students, families, faculty, staff, and visitors.
This role requires professionalism, hospitality, confidentiality, flexibility, initiative, strong interpersonal skills, and the ability to manage multiple responsibilities simultaneously in a fast-paced school environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Front Office and Family Support
- Help maintain a warm, welcoming, and professional front office environment for students, parents, visitors, and faculty;
- Greet and assist families and guests entering the elementary office;
- Answer phones, respond to inquiries, and direct calls or visitors appropriately;
- Provide exceptional customer service and support to school families;
- Assist in communicating school procedures, schedules, and information to parents and staff;
- Support the overall mission and daily operations of the elementary division
Student Supervision and Transportation
- Assist with transporting students who arrive late to school to their classrooms;
- Assist with transporting students who are being picked up for early dismissal;
- Assist with student movement throughout the school day as directed by the Elementary Principal;
- Transport students to and from music lessons or other scheduled activities as needed;
- Help ensure student safety and accountability during student transitions
Attendance and Student Records
- Input and maintain daily attendance records for elementary and preschool students;
- Work cooperatively with the Elementary Principal regarding attendance monitoring, reporting, and follow-up;
- Assist with maintaining accurate student records and documentation;
- Prepare attendance-related reports and assist with data verification as needed;
- Provide data entry support to the Clinic by entering student medical information into the school’s Student Information System as needed
Administrative and Clerical Support
- Provide administrative and clerical support to the Elementary Principal;
- Prepare class rosters, schedules, reports, correspondence, and other materials needed for the school year;
- Assist with copying, filing, data entry, document preparation, and record maintenance;
- Support office workflows and organizational systems to ensure efficient operations;
- Assist with special projects and additional administrative tasks as assigned;
- Work collaboratively with the office and administrative team to support school-wide initiatives and events
Event and Program Coordination
- Coordinate and assist with planning elementary field trips under the direction of the Elementary Principal, including:
- Scheduling and reservations
- Transportation coordination
- Permission forms and documentation
- Communication with teachers and parents
- Organizational and logistical support
- Schedule and coordinate all elementary school photo sessions with the school photographer, including:
- Individual student photos
- Class photos
- Spring photos
- Faculty and staff photos
- Coordinate classroom and grade-level picture schedules;
- Assist with organization and logistics for picture day to ensure efficient operation;
- Provide support for elementary programs, activities, and special events as needed
