Job summary

Clearview Cancer Institute in North Alabama is seeking an EHR Systems Specialist to serve as the practice's primary contact for OncoEMR and related platforms. You will own day-to-day administration, manage access, configure forms, and lead staff education on system functionality and new features.

You will collaborate with the Director of Quality on pilot programs and system initiatives, ensuring secure, efficient workflows across OncoEMR, ARIA, and legacy systems in a multi-site oncology setting.

Qualifications

  • Prior experience with OncoEMR or comparable oncology EMR/EHR platforms.
  • Experience supporting ARIA or radiation oncology systems is a plus.
  • Ability to translate clinical workflows into system configurations.

We are looking for talented and highly-motivated individuals who demonstrate a natural desire to support the meaningful work of community oncologists and the patients we serve.Job Description:Job purposeThe EHR Systems Specialist serves as the practice's primary point of contact and subject matter expert for OncoEMR, and provides system support across the practice's other clinical platforms, including ARIA and the legacy urology EHR system. This role owns day to day system administration, including user access requests, form and activity configuration, and first line troubleshooting, while also leading staff education on system functionality and new features. All form, activity, and order builds are reviewed and approved by the Director of Quality prior to production deployment. The position works closely with the Director of Quality on pilot programs and other system related initiatives.Essential Job FunctionsSystem Access & AdministrationManage staff requests for inbox access across OncoEMR, ARIA, and the legacy urology system, ensuring appropriate permissions are granted and access is removed promptly upon role changes or staff departures.Maintain an accurate log of user access levels and permissions across all specialties, locations, and systems.Apply minimum necessary access principles when granting or modifying permissions, and participate in periodic access audits.Forms & TemplatesField staff requests for updates to existing forms, submitted via email, and prioritize based on clinical urgency and operational impact.Design new forms based on clinical or operational needs, coordinating with requesting departments to ensure accuracy and usability.Test all new and updated forms and route to the Director of Quality for review and approval before release to production.Activities & OrdersField staff requests, submitted via email, for updates to existing activities and orders.Build new activities and orders in response to clinical, regulatory, or operational needs.Validate changes in a test environment and obtain Director of Quality approval before deploying to production.Troubleshooting & SupportServe as the first line of defense for internal system issues across OncoEMR and other supported platforms, triaging and resolving problems before escalation to Onco Support or the relevant vendor.Document recurring issues and identify trends that may indicate a need for broader system or workflow changes.Escalate unresolved issues to Onco Support or the appropriate vendor with clear documentation of steps already taken.Training & EducationDevelop and deliver onboarding and training for new staff on OncoEMR and other supported systems.Provide ongoing education to existing staff when new features, updates, or workflow changes are released.Create and maintain training materials, quick reference guides, and job aids.Reporting & Pilot ProgramsReport directly to the Director of Quality on the status and outcomes of any system-related pilot programs.Provide regular updates on system requests, open issues, and completed builds.Support broader quality initiatives that intersect with EHR functionality, such as reporting and workflow standardization.HIPAA & SecurityAccess, use, and disclose protected health information only as necessary to perform job duties, in accordance with HIPAA and the practice's privacy and security policies.Grant and modify system access in a manner consistent with minimum necessary access standards.Report any suspected security incidents, unauthorized access, or privacy concerns to the Director of Quality and appropriate compliance personnel immediately.Complete all required HIPAA and security training on schedule.QualificationsPrior experience with OncoEMR or a comparable oncology EMR/EHR platform strongly preferred; experience with ARIA or other radiation oncology systems a plus.Experience in a multi-specialty or multi-site healthcare setting preferred.Strong troubleshooting and analytical skills with the ability to translate clinical workflows into system configuration.Excellent communication and training skills, with the ability to explain technical concepts to non-technical staff.Ability to manage multiple concurrent requests and prioritize based on clinical urgency and operational impact.Working knowledge of HIPAA privacy and security requirements as they apply to EHR access management.Education/ExperienceHigh school diploma or equivalent required; associate's or bachelor's degree in health information technology, informatics, or a related field preferred.Working conditions:This position works in the administration department of a multi-specialty medical practice. There may be times when some direct patient care or patient interactions may be required. This position may have to work overtime (nights or weekends) in order to complete tasks.Physical requirements:This position requires that the employee be able to sit in front of a computer for the duration of the workday. This position also requires that the employee be able to stand and/or walk for the duration of the workday.Direct reportsThis position is not a supervisory position.
