  • Record meeting notes and distribute to the team; manage departmental email accounts.
  • Oversee materials and supply management, inventory, and event prep.

Role Overview

Reporting to the Associate Director, Education Operations, the Education Operations Coordinator is the connective tissue of the Lincoln Center Education (LCE) team: a reliable, resourceful, and people-centered presence that keeps multiple program teams running smoothly behind the scenes. Supporting multiple aspects of day-to-day administrative operations, this role is ideal for someone who finds genuine satisfaction in making other people's work easier, takes pride in the details, and brings warmth and professionalism to every interaction. What You'll Get to Do Here:

Administrative Support:

  • Support day-to-day administrative needs across the departmentsuch astracking general admin expenses, supportingthe overall management of digital file systems,trackingsurvey and participantdata record keeping, and handling correspondence with internal teams and external partners.
  • Support the gathering of LCE Programs’ scheduling requestsfor theEducationOperations Team
  • Provide general administrative support for our work with the New York City Public Schools, and other potential school partners, including monitoring and updating the NYCPS’ PETS background check system as needed
  • Take, file and distribute notes at full-team weekly meeting and other significant meetings needing record keeping
  • Manage departmental external email accounts and mailing lists for LCE
  • Other administrative support as assigned

Workshop & Event Material & Supply Management

  • Manage allarts materials and supply needs across the team such as storing, inventorying, purchasing, and organizing; serving as the central coordinator to make sure all programs are always stocked and ready; including LCE’s inventory of iPads, MacBooks and other digital tools which support our work
  • Provide material preparation support for departmental events, including photocopying and collating handouts, designing and printing nametags, assembling packets, and coordinating supply orders, ensuring all materials are accurate, on-brand, and ready in advance of each event
  • Support logistics and execution for onsite and offsite meetings and program events, including catering, handling registration lists, and general setup.
  • Provide basic technical support at team meetings and workshops, as well as selected events by coordinating AV setup and troubleshooting any related issues; supporting virtual participants via Zoom or similar platforms, and ensuring all technology is tested and ready before attendees arrive
  • Additional workshop support duties as assigned.

  • Standard work hours are Monday through Friday during regular business hours.
  • Occasional early mornings, evenings, and weekends may be required to support programs, workshops, performances, meetings, and special events.
  • Some schedule flexibility is required based on departmental programming needs and school partner activities.
Physical Requirements
  • Ability to lift, carry, and transport program supplies, art materials, technology equipment, and event materials weighing up to 25 pounds.
  • Ability to set up and break down meeting rooms, workshops, and event spaces, including arranging tables, chairs, signage, and materials.
  • Ability to remain stationary for extended periods while working on administrative tasks and operating a computer.
