Job description

The Education Coordinator provides essential administrative and programmatic support for Theatre Horizon’s education department. Working closely with the Education Manager, this role helps ensure the smooth operation of Theatre Horizon’s year-round education programs, including Summer Drama Camp, Autism Drama Program, NSTEP , student matinees, classes, and community partnerships.

The Education Coordinator will support day-to-day operations, manage communication and scheduling, coordinate supplies and paperwork, assist with budget tracking and data collection, and provide on-site support for programs and events.

The ideal candidate is a highly organized, proactive individual with strong administrative and interpersonal skills, experience in arts education, and the ability to thrive in a fast-paced environment with many moving parts.

We produce an ambitious season of plays, musical, and concerts for the general public, while educating nearly 1,000 children annually in the Philadelphia suburbs via our drama classes. RESPONSIBILITIES:
  • Collaborate with the Education Manager to plan, implement, and execute Theatre Horizon education programs.
  • Assist with keeping the website, registration platforms, and marketing materials up to date as needed.
  • Work with the Education Manager to prepare materials for orientations, training, student matinees, summer camp, and year-round programming.
  • Provide on-site and virtual support for Theatre Horizon education programs, including
  • Summer Drama Camp, Autism Drama Program, NSTEP , classes, workshops, and student matinees.
  • Assist in the management and coordination of communication between teaching artists, parents, schools, and community partners.
  • Support registration and enrollment processes, including monitoring class rosters, attendance, waitlists, and participant information.
  • Oversee preparation, organization, and tracking of supply boxes and educational materials, and notifying the Education Manager when restocks are needed..
  • Oversee and manage Education Interns
  • Organize and deliver supplies and facility needs for education programs and assist with supply drop-offs at partner-site locations throughout Montgomery County and surrounding areas as needed.
  • Support the management and organization of clearances, contracts, payroll information, and employment paperwork for teaching artists, interns, and volunteers.
  • Assist with scheduling and communication for teaching artists and substitute teachers.
  • Be available for occasional last-minute substitute teaching and emergency program support needs.
  • Attend and support Summer Drama Camp showcases, Autism Drama Program showcases, student matinees, and other education events.
  • Assist in the planning and execution of student matinees throughout the season, including coordinating school communication, talkbacks, study guides, and engagement activities.
  • Organize and track program surveys, attendance data, and other departmental records, and assist with data collection and reporting.
  • Assist in maintaining and updating departmental calendars, contact lists, spreadsheets, and shared documents.
  • Support the maintenance of the Education Department budget, including tracking expenses, purchase requests, invoices, and program income.
  • Work with the Education Manager and leadership to identify and implement opportunities for growth and sustainability within the Education Department.
  • Serve as an ambassador for Theatre Horizon at schools, community events, education partner sites, and public-facing events.
  • Attend staff meetings and provide feedback on education programming and departmental needs.
  • Attend and support Theatre Horizon productions and events as needed.
  • Perform other duties as assigned by the Education Manager.
LOCATION:
  • The position will consist of in-person and remote work. Expect to work at least 3 days in the office on average. These days will generally be Wednesday and Thursday, as well as Saturday mornings during the school year when weekend classes are taking place, with some variability. During the summer months or special programming events, expect in-person days to increase.
  • Travel to Theatre Horizon partner sites and off-site program locations throughout Montgomery County and surrounding areas is required, primarily during Spring Break and the summer.
  • Evening and weekend hours will occasionally be required to support performances, student matinees, special events, showcases, or community programming.
HOURS:
  • Approximately 35 hours per week beginning in October.
  • Hours are flexible based on program needs and may fluctuate seasonally.
  • Some weeks during the summer and performance seasons may require additional hours.
  • Emergency needs from teaching artists, families, or program partners that require immediate action may occasionally extend beyond a typical work day.
ADDITIONAL REQUIREMENTS:
  • Driving to off-site locations is required. Individual must have a reliable vehicle and a valid driver’s license.
  • You must have or be able to obtain clearances for working with children in Pennsylvania.
EXPERIENCE:
  • Experience as an educator, camp administrator, or arts administrator with evidence of program coordination, implementation, and evaluation is required.
  • Administrative experience is highly desirable.
  • Previous work related to theatre, arts education, camps, or the arts/culture sector is strongly preferred.
  • Experience working with children, teens, families, schools, and/or neurodiverse populations is highly desirable.
  • History working with a wide variety of people and personalities; ability to create and facilitate a welcoming and comfortable environment.
  • Proven track record of providing high-level customer service with excellent interpersonal communication skills.
  • Experience with scheduling, budget tracking, registration systems, and database management is preferred.
  • Proficiency in Microsoft Word, Excel, and Google Workspace (Gmail, Google Calendar, Docs, Forms, Sheets, and Drive).
