Position Summary
The ECR Fulfillment and Operations Coordinator will be responsible for overseeing the ordering fulfillment process for all Every Child Ready books and materials and also provide general operations support for the instructional quality team. This position includes order entry and administrative duties, as well as oversight into shipping and tracking of orders to ensure orders are processed accurately and in a timely manner. Providing excellent customer service to both internal and external stakeholders is essential in this position. The ECR Fulfillment and Operations Coordinator will report directly to the Chief of Growth and Impact.
Act as liaison between AppleTree and book vendor
- Maintains and updates all book packages and offerings sold through the vendor
- Reviews online product offerings and ensures products are categorized correctly and display accurate product names, descriptions, and images.
- Recommends opportunities for marketing additional products and expanding the customer demographic.
- Monitors inventory of all stock and ensures that adequate levels are maintained.
- Attends regular meetings with vendors to discuss processes and procedures, review inventory and plan for future transactions.
Coordinates all ordering processes for ECR products
- Oversees the order fulfillment process including order input, administration, and shipping.
- Receives orders from clients and follows all steps to ensure order is placed accurately.
- Places orders with print vendor for all internally published materials, including books, picture word cards, posters, kits, and more.
- Communicates and collaborates with internal teams to expedite order fulfillment and resolve fulfillment issues.
- Develop forms and templates to assist in processing orders.
- Prepares monthly billing invoices for partners to reflect purchase orders.
Maintains The Every Child Ready Website
- Collaborates with internal teams to maintain and/or improve current displays of information and overall design, including recorded webinars
- Monitors and regularly reports website traffic data
- Maintains the Every Child Ready store:
- Fulfills all orders placed through the store
- Regularly updates products
Provides excellent customer service
- Provides internal and external customer support through written and verbal communication.
- Ensures orders are processed, monitored, and fulfilled accurately, promptly, and efficiently.
- Liaise with customers regarding online product issues, necessary reorders, and new offerings.
- Develop strong collaborative relationships with all internal and external customers.
- Correspond with and explain procedures to customers.
- Facilitate the scheduling of orders and resolve issues including, but not limited to, back-orders, and holds on orders.
- Review order status and ensure timely shipping to meet delivery deadlines. Track and report causes of order processing delays.
Provides general operations support to the Instructional Quality Team
- Organizes information, as requested, using Google Suite
- Sends out and monitors partner survey completion
- Supports scheduling, logistics, and operational duties of the team
Contributes to a Community of Practice
- Reviews processes and policies, and recommends changes that will improve accuracy, decrease order turnaround time, provide potential for cost savings and increase overall customer satisfaction.
- Collaborates with internal teams to share feedback from customers and data trends from sales.
- Effectively communicate the AppleTree vision, mission and activities to a variety of stakeholders.
- Respect confidentiality.
- Maintain cooperative, respectful and supportive relationships with colleagues.
- Demonstrate punctuality, good attendance and professionalism for all duties.
- Effectively use time and resources.

Qualifications And Requirements
- A Bachelor's degree from an accredited college or university (strongly preferred)
- One to three years of relevant experience, including but not limited to customer service, inventory and fulfillment management, website management (required)
- A superior attention to detail is critical for this role, as evidenced by prior experience as well as in pre-interview activities.
- Excellent communication skills, both written and verbal.
- Proven ability and aptitude using computer software (Microsoft Office, Google Applications, etc.). Must be fluent in all aspects of Google sheets.
- Ability to work well with others and interact positively and effectively with colleagues at all levels of the organization, including with external clients/vendors to provide information with clarity, diplomacy and tact.
- An ability to innovate and continuously improve systems is a must.
