Qualifications

Position Summary

ZOE International, a faith-based nonprofit organization committed to ending child trafficking and restoring hope to survivors, is seeking an Operations & Donor Relations Manager for our East Coast Operations located in Berks/Lancaster, PA. This position provides dependable operational, administrative, communications, and fundraising support across the organization. This role coordinates office systems, projects, events, donor stewardship, and volunteer activities so that staff, supporters, and partners receive timely information and a consistent experience.
Working closely with the Executive Director and other team members, the Manager keeps priorities organized, maintains accurate records, supports fundraising and advocacy initiatives, and helps programs and events move smoothly from planning through completion. The position is well suited to a collaborative professional who can manage details, communicate warmly, and balance multiple responsibilities in a mission-driven environment.

Key Responsibilities
  • Office Operations & Administrative Coordination
  • Coordinate day-to-day administrative systems, shared calendars, schedules, files, correspondence, supplies, vendors, and routine office needs for a remote organization.
  • Maintain inventory and coordinate the ordering, organization, storage, and replenishment of outreach and event-table resources, including brochures, pamphlets, signage, displays, forms, giveaways, and related materials.
  • Maintain organized records, project timelines, action lists, and supporting documentation; follow up with team members to help keep commitments on track.
  • Prepare reports, newsletters, meeting materials, and other documents for the Executive Director and organizational initiatives.
  • Support internal coordination across programs, communications, fundraising, events, and advocacy activities.
  • Recommend practical improvements to workflows, recordkeeping, and administrative processes.
  • Donor Relations & Stewardship
  • Build and maintain positive donor relationships through personalized thank-you letters, email updates, phone calls, event invitations, and other timely communications.
  • Manage prompt and accurate donation acknowledgments, certificates, recognition, and milestone outreach so donors feel valued and connected to the mission.
  • Maintain the donor database, including contact information, interactions, preferences, giving history, and follow-up activities.
  • Oversee gift-processing records and documentation in coordination with leadership and finance, following approved organizational policies.
  • Use donor information and giving trends to support retention, re-engagement, cultivation, and identification of prospective donor partnerships.
  • Fundraising & Development Support
  • Collaborate with the Executive Director and development team on fundraising campaigns, matching-gift opportunities, donor appeals, and stewardship plans.
  • Assist with identifying and cultivating individual, church, community, and corporate partners, including sponsorships for special events.
  • Create donor reports and presentations using stories, data, and visuals to demonstrate impact and the importance of donor support.
  • Communications & Content Coordination
  • Develop, coordinate, and edit content for newsletters, advocacy updates, donor communications, event invitations, and organizational stories.
  • Ensure communications are accurate, timely, mission-aligned, and consistent in voice and branding.
  • Coordinate content approvals, distribution schedules, and supporting materials across staff and external partners.
  • Maintain communication with churches, prayer-support networks, donors, volunteers, and other stakeholder groups as assigned.
  • Event & Program Coordination
  • Plan and coordinate donor events, fundraisers, appreciation gatherings, advocacy projects, meetings, and other special events.
  • Manage event logistics, including timelines, venues, vendors, sponsors, invitations, materials, volunteers, and day-of execution.
  • Prepare and manage event-table materials, ensuring the appropriate brochures, pamphlets, signage, displays, supplies, and informational resources are current, complete, and available when needed.
  • Provide administrative support for ongoing programs and regional activities, maintaining accurate records and progress updates.
  • Represent the organization at selected events and help cultivate strong relationships with donors, partners, and community stakeholders.
  • Conduct post-event follow-up and document results, lessons learned, and opportunities for improvement.
  • Volunteer Coordination
  • Support volunteer recruitment, screening, onboarding, scheduling, placement, communication, and recognition.
  • Match volunteers with appropriate organizational and event needs, communicate expectations clearly, and maintain current volunteer records.
  • Coordinate volunteers for fundraising and advocacy events and serve as a responsive point of contact before, during, and after service.
Qualifications
  • Bachelor's degree in nonprofit management, business administration, communications, marketing, fundraising/development, or a related field - or equivalent relevant experience.
  • Three to five years of experience in nonprofit administration, donor relations, communications, event management, fundraising support, or program coordination.
  • Demonstrated ability to organize multiple projects and events, meet deadlines, maintain accurate records, and follow through with limited supervision.
  • Strong interpersonal skills and experience building relationships with donors, partners, volunteers, vendors, and community stakeholders.
  • Excellent written and verbal communication skills, sound judgment, discretion, and attention to detail.
  • Proficiency with Microsoft Office or Google Workspace; experience with CRM, email-marketing, content-management or project-management is preferred.
  • Public speaking or presentation experience is a plus; knowledge of or interest in online safety and advocacy is also a plus.
  • Alignment with the organization's mission and values and a collaborative, service-oriented approach to work.
Working Conditions
  • Approximately 30 hours per week, primarily remote, with a regular schedule agreed upon with the Executive Director.
  • Occasional evening or weekend availability and periodic travel may be required for meetings, donor activities, or special events.
