Job summary

Klinedinst PC in Los Angeles, CA is seeking a Practice Assistant to support the General Liability Practice Group. You will assist attorneys with administrative and legal tasks, ensuring smooth daily operations and high-quality client service.

The ideal candidate has 3–5 years of related experience, an Associate’s degree or equivalent, and a proactive, detail-oriented mindset. You will work in a fast-paced, collaborative environment with experienced professionals.

Qualifications

• 3–5 years of related experience in a legal/administrative support role.
• Associate’s degree or equivalent.
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication skills.
• Professionalism and discretion when interacting with clients, attorneys, courts, and colleagues.
• Self-starting, proactive attitude with strong problem-solving abilities.
• Ability to work independently while contributing to a collaborative team.
• Proficiency with legal technology, document management systems, and Microsoft Office applications.

Responsibilities

• Assist with preparation of materials, forms, budgets, reports, and charts for major clients and regulatory agencies.
• Prepare expense reimbursements.
• Provide administrative support to attorneys including calendar management and scheduling.
• Maintain attorney calendars, deadlines, and reminders.
• Open, maintain, and close client and matter files.
• Prepare, edit, format, and organize legal documents using firm templates and style guidelines.
• Manage electronic and physical files for accessibility.
• Assist with electronic filings in state and federal courts and agencies as needed.
• Track hearings, deadlines, and key dates; support docketing requirements.
• Serve as professional liaison for clients, courts, experts, and opposing counsel.
• Handle incoming communications with professionalism and responsiveness.
• Coordinate logistics for meetings, depositions, mediations, hearings, and trials.
• Assist with time entry, billing reviews, and expense submissions through Aderant.
• Support client intake, conflict checks, engagement letters, and matter openings.
• Assist with case intake review, discovery management, and file summaries.
• Create and maintain internal tracking systems and reports for major clients.
• Support onboarding and file organization for attorneys joining the practice group.
• Collaborate with attorneys and firm departments to support client service and operational initiatives.
• Assist with special projects and administrative initiatives.
