DSHS Fircrest Administrative Assistant 3

Washington State Department of Social and Health Services’ (DSHS) Developmental Disabilities Administration (DDA) is seeking an Administrative Assistant 3 to join the team at Fircrest Residential Habilitation Center. Some of what you'll do:

The Administrative Assistant 3 will be primarily responsible for providing administrative support to the Intermediate Care Facility (ICF) Director.

Responsibilities include, but are not limited to:
  • Establishing and maintaining ICF administration schedules.
  • Creating reports, providing minor technical support, and distributing documentation for the ICF.
  • Managing the distribution and tracking of security badges, parking passes, and ORCA cards to Fircrest Staff.
  • Assisting with timely processing of public disclosure requests.
  • Providing services and assistance to other ICF supervisors.
  • Responding to telephone calls and emails in a timely and professional manner.
  • Distributing and organizing incoming and outgoing mail (certified, inter-office, standard USPS, packages).
  • Processing invoices and completing requests to ensure accurate and timely payments.
  • Serving as a professional point of contact for regulatory agents, walk-in visitors, employees, parents/guardians, clients, healthcare professionals, and other community individuals.
What we are looking for:
  • Ability to effectively communicate with management, peers, clients, and the public to carry out assigned duties.
  • Capability to comprehend and clearly communicate issues related to client care and facility operations.
  • Capacity to work independently in a fast paced, every changing, deadline driven environment.
  • Ability to perform basic math calculations accurately.
  • Proficiency in using computers and Microsoft Office applications.
  • Capacity to create, modify, and update spreadsheets and digital databases.
  • Capability to input and organize data and prepare charts and graphs.
  • Demonstrated sensitivity to cultural diversity in all interactions.
  • Ability to accurately type at least 50 words per minute.
  • Capability to proofread materials and make necessary corrections and edits.
  • Ability to answer a multi-line phone system and direct callers appropriately.

Note: King County employees receive 5% premium pay in addition to the advertised salary and are eligible to receive a free ORCA card for transportation use. Opportunities performed on-site at this work location at least three days a week may be eligible for an additional 5% premium pay in addition to the advertised salary.
