This position is based full-time in our Highlands Ranch, Colorado office. Applicants must currently reside within a reasonable commuting distance of Highlands Ranch or be willing and able to relocate immediately upon accepting an offer. Remote work arrangements are not available for this position.

What You’ll Do:
  • Receive, record, and distribute Work Orders to Designers.
  • Maintain online schedule of all active projects and coordinate scheduling with Designers.
  • Enter project information in unit count spreadsheet, Designer calendars, and tracking software.
  • Manage and verify QA/QC reviews are complete and corrections are provided.
  • Provide reports to evaluate Designer efficiencies. Provide reports from Deltek, including time input details, OT analysis, and WEX charge reports. Provide completion analysis, late vs. on‑time, and Designer accuracy reports.
  • Assist Designers with file acquisition, downloads, and uploads. Solicit needed project information from consultants and clients. Request required project document access.
  • Provide consultants with email updates detailing project progress, revisions, milestones, revision completion, and correspondence with clients.
  • Receive, log, review, and process drafting Work Orders.
  • Coordinate drafting needs with the Department Manager and Designers.
  • Confirm scheduled completion dates with consultants. Assist Designers with minor drawing changes.
  • Update completion schedule and master Trello log.
  • Create activity reports – project status, projected completion date, and work projection report. The work projection report is a spreadsheet that provides details by Consultant on WO receipt, WO processing, milestone schedule dates, status, initial draw, revisions, work and phase start dates, dues dates, projected completion dates, and milestone completions.
  • Update schedules daily, based on job status.
  • Provide weekly updates via activity report to consultants on all projects and status. Talk with every consultant and provide active project status reports for all projects.
  • Reassign jobs to meet schedule requirements.
  • Forecast and schedule upcoming week, month, and 90‑day lookout schedule.
  • Provide weekly, monthly, and quarterly updates to EVP on area drafting activities.
  • Coordinate completion of urgent work and revision requests.
  • Maintain software licensing information, expiration, and renewal management, and arrange payments. Load software updates.
  • Maintain asset inventory and replacement schedule. Work with IT to ensure equipment replacements are timely.
  • Clean and maintain the ADST Sharepoint site.
  • Maintain Base Drawings, Layout Manual, and equipment information and database with guidance from supervisor.
  • Create and manage training process for new Designers.
  • Organize and maintain shop drawing library.
  • Maintain and post PTO schedules, monitor PTO accruals, and personal days required.
  • Develop baseline hours for work hours for projects to assist with scheduling. Provide efficiency data for each designer: hours/unit, hours/project, revision hours, and error data.

  • College degree or equivalent experience required.
  • 0-2 years administrative support or scheduling role.
  • Drafting experience required. Complete simple drafting revisions.
  • Intermediate or advanced skills using software: Microsoft Office (Excel, Word, SharePoint, PowerPoint, etc.), MS Outlook, web‑based applications, and databases.

Working Environment:

This position is primarily performed in a professional office or remote office environment with regular use of computers and standard office equipment. Occasional travel for meetings, training, conferences, or company events may be required depending on business needs.

Physical Demands:
