Job summary

Sunbelt Solomon is seeking a Fleet Records Coordinator in Solomon, KS to support the Fleet Manager with asset registrations and regulatory compliance. You will maintain records of vehicle purchases and sales, assist with fuel tax reporting, and help manage DOT drug testing and driver records.

Requirements include a high school diploma, excellent organizational skills, proficiency with MS Office, and the ability to handle confidential information with integrity. Experience preferred.

Responsibilities

• Assists Fleet Manager with registration of company owned assets (IRP and non-commercial).
• Maintains accurate records of vehicle purchases and sales.
• Assist Fleet Manager with recordkeeping required for Fuel Tax reporting (IFTA and state taxes).
• Includes permit renewals, MCS-150, and DOT Drug Testing Program coordination.
• Maintains driver records, MVR checks, and driver qualification files.
• Assist drivers with ELD issues and expense reports.
• Assist with accident reporting, investigations and insurance claims.

Description

Fleet Management:

• Assists Fleet Manager with registration of company owned assets (IRP and non-commercial)
• Maintains accurate records of vehicle purchases and sales

Regulatory Compliance:

• Assists Fleet Manager with recordkeeping required for Fuel Tax reporting
• Includes IFTA and state specific fuel taxes (KS, NM, OR, NY, KY
• Assists Fleet Manager with permit renewal
• MCS-150
• Haz-Mat (Alliance, GA, CA, WI, CO, TN, IL FL Used Oil, MI Liquid Waste)
• Pays toll bills and maintains billing records for toll allocation (K-Tag and Pre-Pass
• Driver Records
• Runs annual MVR for all company drivers
• Maintains the driver list for insurance purposes
• Maintains Driver Qualification files
• Current DL or CDL
• Medical certification (if required)
• Record of violations
• Training records
• DOT Drug Testing Program
• Assists Fleet Manager with maintaining records related to DOT drug testing program
• Driver Compliance
• Assist drivers with ELD technical issues, including log edits
• Maintains EFS card program
• Maintains permit books for trucks
• Assist drivers with CDL requirements (fingerprinting, medical exams, endorsement testing)
• Assist drivers with expense reports
• Assists with accident reporting, accident investigations and insurance claims

Qualifications:

• Two years’ experience preferred
• High School diploma or equivalent
• Advanced computer skills. Previous experience with MS office preferred.
