Qualifications

  • Proficiency with PDFs, including export review and formatting verification.
  • Strong attention to detail with proven proofreading and quality review.
  • Clear written and verbal communication with cross-functional partners at all levels.
  • Ability to manage multiple documents and deadlines with limited direction.
  • Availability to work fully onsite.

Responsibilities

  • Organize and maintain a centralized documentation repository, giving stakeholders reliable access to current clinical documentation.
  • Create, edit, and format documents, spreadsheets, and presentations in line with established document standards.
  • Review exported files to confirm accurate representation of original content, including formatting, fonts, and style.
  • Apply consistent formatting across all deliverables to support readability and a professional finished product.
  • Collaborate with cross-functional teams to confirm content quality and resolve documentation questions.
  • Respond to questions from team members and stakeholders, providing clarification on documentation requirements and standards.
  • Identify opportunities to improve documentation processes, then propose and implement changes to increase efficiency.
  • Track document versions and revisions, maintaining a clear record of changes across the documentation set.

Position Description

The Documentation Coordinator supports the accuracy, completeness, and organization of Clinical Affairs documentation at Applied Medical. This clinical documentation specialist creates, edits, and maintains a range of documents and partners with cross-functional teams to uphold content quality and consistency. The role applies close attention to detail, established document standards, and strong formatting discipline across reports, spreadsheets, and presentations. The Documentation Coordinator also identifies and implements improvements to documentation processes, strengthening how Applied Medical manages clinical documentation across its medical device portfolio.

This position is fully onsite.

Key Responsibilities
  • Organize and maintain a centralized documentation repository, giving stakeholders reliable access to current clinical documentation.

Success in This Role Looks Like
  • Deliver documentation with consistent formatting, accurate content, and no gaps at the point of hand-off.
  • Maintain a repository stakeholders trust and use without needing to request assistance locating files.
  • Build strong working relationships with cross-functional partners across Clinical Affairs.
  • Resolve documentation questions quickly and communicate standards clearly to contributors.
  • Implement process improvements with measurable effect on documentation turnaround and quality.
  • Support Clinical Affairs deliverables on schedule while managing multiple concurrent documents.
Position Requirements

This position requires the following skills and attributes:

  • Associate degree or higher in English, communications, life sciences, or a related field, or equivalent documentation experience.
  • Two years of experience in documentation coordination, technical writing, document management, or a similar function.
  • Advanced skill in Microsoft Word, Excel, and PowerPoint, including styles, templates, and formatting controls.
  • Proficiency working with Portable Document Format (PDF) files, including export review and formatting verification.
  • Strong attention to detail with proven accuracy in proofreading and quality review.
  • Clear written and verbal communication skills with cross-functional partners at all levels.
  • Ability to manage multiple documents and competing deadlines with limited direction.
  • Availability to work fully onsite.
Preferred

The following skills and attributes are preferred:

  • Experience in medical device, life sciences, pharmaceutical, or another regulated industry.
  • Familiarity with an electronic document management system (EDMS).
  • Working knowledge of clinical documentation, clinical trial records, or Good Clinical Practice (GCP).
  • Bachelor's degree in English, communications, technical writing, or a life sciences discipline.
  • Experience improving or standardizing documentation workflows and templates.
