Job summary

Solvere Technical Group in Mobile, AL is seeking a Documentation and Administrative Specialist to provide diverse administrative and clerical support. The candidate will assist in documentation capture, prepare communications, and coordinate ceremonial events as well as official travel arrangements.

This role requires a Bachelor’s Degree or equivalent experience, four years in documentation support, and proficiency in Microsoft Office. Comprehensive benefits, including medical and 401(k), are offered to employees.

Documentation and Administrative Support

Become an Documentation and Administrative Specialist for Solvere Technical Group!
This position is based out of Mobile, AL.
Solvere Technical Group LLC is a professional services provider, founded in 2017. We are currently looking for a responsible specialist, to perform a variety of administrative and clerical tasks.

Job Description
  1. Provide for the day‑to‑day administrative needs of OPC business, including communications, documentation capture, writing, task tracking, briefings, and meeting support. Develop PowerPoint presentations, emails, documents, white papers, spreadsheets, graphs, generate overall program documentation, record meeting notes and action items, and deliver to customers. This work shall be performed at the office in OPC PRO in Mobile, AL.
  2. Participate in ceremonial related meetings and track action items that require specific Surface Program personnel response or resolution. Relay that information back to the specific Surface Program lead for that particular ceremonial event and provide potential resolutions to the issue as needed.
  3. When a ceremonial event is scheduled, support all ceremonial efforts (keel laying, christening, commissioning), including correspondence and coordination with other CG directorates, preparation and tracking of invitational guest lists, review and editing of print packages, and other documentation support.
  4. Support the coordination of special programs and media events. Research and gather information that enables the Program Office and PRO to respond to media queries required by technical instructions, and maintain a history file of program‑related media.
  5. Draft communication products such as literature, trifolds, and handouts that enable the Project Office to respond to information requests required by technical instructions, maintain a history file of project‑related media, and forward information through the CG‑9 communications team.
  6. Maintain tracking for and support administrative items in the review and approval process. Track items such as decisional memoranda, MSAM documents, agreement memoranda (MOUs, MOAs, IAAs), personnel training, member evaluations, certifications, and awards. Follow up on documents in the concurrent clearance and sequential approval processes.
  7. Perform all necessary arrangements required for official command travel using the USCG travel system, including airline reservations, billing, hotel accommodations, rental car reservations, and travel document processing. Maintain itineraries, schedules, and other records of official travel, coordinate travel for Distinguished Visitors, ensure all official protocol obligations are met, and maintain the Command Official Guest Register.
Qualifications / Education
  • Minimum of four (4) years of office environment documentation support.
  • Bachelor’s Degree (or four years of relevant experience as a substitute).
  • Knowledge of Microsoft Office software suite, including Word, PowerPoint, and Excel, and general document processing and management.
  • Ability to research, collect, develop, and consolidate data for use in the preparation of reports.
  • Knowledge of standard processing procedures, formats, and distribution for correspondence, presentations, and reports.
  • Must possess SECRET clearance.
