Job summary

FTI is seeking a Document Solutions Team Lead to oversee project documentation and document control systems. You will guide Documentation Specialists, ensure proper filing structures, and coordinate with Preconstruction, engineering, quality, and field teams to keep documentation accurate and on schedule.

The role requires strong clerical skills, familiarity with project specs, and the ability to manage multiple tasks in a dynamic construction environment.

Qualifications

  • High school diploma or GED or Associates degree preferred.
  • 3–5 years of administrative experience; 5 years preferred or 3 years field experience in construction trades.
  • Overtime may be required and travel 0–25%.
  • Ability to read and comprehend project specifications, submittals, and drawings.

  • Coordinate flow of documents between project teams and departments.
  • Maintain document control standards and version control.
  • Proofread newly created documents for grammatical accuracy and formatting.

The Document Solutions, Team Lead provides overall management of the product or project documentation per the client’s requirements. Oversees the development and maintenance of project document system in accordance with internal or external client requirements. Ability to read and comprehend project specifications, submittals, and construction drawings.

Minimum Requirements

Education: High school diploma, GED, or Associates degree is preferred

Experience: 3-5 years of administrative experience. 5 years of administrative experience or 3 years field experience in construction trades preferred.

Travel: 0-25%

Work Schedule: This position works between the hours of 7 AM and 5 PM, Monday- Friday. Overtime may be required. However, work may be performed at any time on any day of the week to meet business needs.

Key Responsibilities
  • Manages, maintains, and organizes project document filing structure
  • Oversee the development of Documentation Specialists
  • Manage a team of Documentation Specialists
  • Conduct meetings as needed facilitate the flow of information between project members
  • Coordinates the flow of documents between Preconstruction Managers, engineering, Quality and Commissioning, field construction team, and other departments
  • Maintains document control standards including version control
  • Assists in the creation of process documentation with the assistance of process and site subject matter experts.
  • Performs clerical typing duties to generate/update documents, as necessary.
  • Manages the timely distribution of latest revision level documentation.
  • Updates and maintains project document control programs and software.
  • Coordinates the development and distribution of project checklists, reports, and databases with the support of document control team members
  • Utilizes company software to generate and update project reports, checklists, and other documents as required by the project
  • Manages the timely completion of project documentation upload in project systems
  • Assists the project team with maintaining documents and project closeout.
  • Assists in the creation of process documentation with the assistance of process and site subject matter experts.
  • Proofreads newly created documents for grammatical errors and proper formatting.
  • Verify equipment/asset naming aligns with current construction drawings.
  • Engages in all aspects of process improvement.
  • Performs other related duties as required and assigned.
