  • Works with lending staff and Legal counsel to address discrepancies and deficiencies with loan requests and produces solutions.
  • Reviews and validates documentation collected by retail staff for accuracy and compliance with loan approval.
  • Reviews approved credit memos to determine loan type and structure and to correctly identify loan documents.
  • Gathers all documents for loans to ensure adherence to terms and proper collateral perfection.
  • Resolves errors on document requests through professional communication and timely follow-up on time-sensitive transactions.
  • Performs all job functions in compliance with company policies and applicable laws including BSA/AML and GLBA/privacy rules.

Document Preparation Specialist I JOB SUMMARY:

The Document Preparation Specialist I is responsible for preparing consumer and commercial loan documents including real estate secured loans, land trust mortgage loans, asset-based lines of credits, letters of credit and complex credits involving tenants-in-common. Works with the lending staff as well as loan operations staff to ensure documents are completed accurately and timely.

Document Preparation Specialist I ESSENTIAL FUNCTIONS (RESPONSIBILITIES):

* Assists lending staff on pre-closing documentation required for loan document preparation and loan closing.

* Works with lending staff (and Legal counsel, if applicable) to address any discrepancies and/or deficiencies with any request for a loan; processes and addresses concerns to develop a solution by analyzing information collected.

* Reviews and validates documentation collected by retail staff (i.e., lien/UCC searches, title searches, titles, certificates of ownership, flood determinations, etc.) to check for accuracy, completeness and compliance with loan approval.

* Reviews approved credit memos to determine type and structure of the loan in order to correctly identify and produce loan documents that accurately represent the loan commitment and terms offered to the borrower.

* Gathers all documents for loans, ensure adherence to all approved terms and conditions and proper perfection of all collateral within requested turnaround time.

* Resolves errors and/or discrepancies on document requests, by effectively communicating through responding in a professional and timely manner while maintain effectiveness when working on time sensitive transactions.

* Exercises awareness regarding possible suspicious activity, money laundering or fraudulent behavior and reports any such incidents to the BSA department. Performs all job functions in compliance with all company policies and federal, state, and local laws and regulations as applicable to the position, including, but not limited to BSA/AML, OFAC and GLBA/privacy rules.

* Performs related responsibilities as required or assigned.

Requirements

Document Preparation Specialist I REQUIRED QUALIFICATIONS:

Knowledge/Skills/Abilities

  • * Basic knowledge of consumer and commercial lending compliance requirements.
  • * Basic knowledge of consumer and commercial lending policies, procedures, and practices.
  • * Basic knowledge of various city, county and state filing requirements.
  • * Excellent interpersonal, oral and written communication skills.
  • * Proficient in MS Office applications.
  • * Ability to maintain composure under pressure.

Equivalent Education/Experience

  • * High school diploma required.
  • * 0-2 years in loan documentation preparation field or related banking field.
  • * Experience with loan documentation software systems preferred.
  • * Experience with SBA lending preferred.
