The role of a Document Controller is crucial in managing and controlling documentation across various sectors, especially those handling large volumes of technical and administrative information. This position ensures the organization, accessibility, and security of documents, which is key to the efficient functioning of projects and processes. Below are the main functions and responsibilities of a Document Controller:

Document Management

The Document Controller is responsible for administering all project-related documents such as plans, reports, contracts, and communications, including both electronic and printed documents. This management involves:

  • Reception and Registration: Receiving, registering, and distributing documents according to established procedures.
  • Classification: Organizing documents logically and accessibly, ensuring proper labeling.
  • Storage: Maintaining physical and digital files securely and orderly.
  • Updating: Ensuring all document versions are current and available.
Quality Control

A key responsibility is to ensure documents meet required quality standards, including:

  • Review: Checking documents for accuracy and completeness.
  • Validation: Ensuring documents are approved by relevant parties before distribution.
  • Correction: Coordinating error correction and document updates.
Document Distribution

The Document Controller must ensure timely and efficient distribution of documents to all stakeholders, including:
