Job summary

WSP is seeking a Document Control Specialist to join our Project Controls team. This role can be based out of any US location.

You will support the document management system, enforce policies, and implement efficient workflows with the EDMS. Strong organization and communication are essential to manage files and assist the project team.

Qualifications

• Bachelor's Degree or equivalent experience.
• 1–3 years of project experience in a Document Control or similar role in transportation infrastructure or construction.
• Proficient in Microsoft Office.
• Experience with ProjectWise (Explorer and Deliverables Management), SharePoint, Bluebeam, Plan Grid, and Microsoft 365 preferred.
• Excellent organization, coordination, and prioritization skills.
• Strong reading, comprehension, and written retention skills.
• Problem solving and attention to detail.
• Excellent client relations and customer service skills.
• Energetic, self-motivated, and quick to learn with focus on continuous improvement.
• Ability to work in a team or independently within a multi-disciplinary environment.

Responsibilities

• Support the Document Control Manager and Team to maintain the document management system.
• Ensure policies and procedures are followed.
• Implement and monitor workflow processes; adjust as needed.
• Work within the Electronic Document Management System (EDMS).
• Provide document management support to the project team.
• Manage file retrieval, uploads/downloads, naming conventions, numbering, and distribution.
• Process incoming/outgoing docs; maintain electronic records per contracts.
• Familiar with Submittal and RFI packages procedures.
• Coordinate with project leads to ensure timely processing; may lead the day-to-day DC team.

This Opportunity

WSP is seeking a Document Control Specialist to join our Project Controls team. This position can be based out of any of our locations across the US.

Your Impact

Duties and Responsibilities:

• Support the Document Control Manager and Document Control Team to maintain a document management system for contract documents and project documents.
• Work with the Document Control Manager and Document Control Team to ensure policies and procedures are being followed.
• Implement an efficient work-flow process, monitor daily activity, and implement modifications.
• Workwithin the existing Electronic Document Management System (EDMS).
• Knowledge of document management process, procedures, and systems.
• Provide Document Management support to the entire project team.
• Retrieve files, Upload /Download files, Manage Document Naming Convention, numbering, assigning, and distribution.
• Process Incoming/Outgoing documentation. Ensure that electronic record files as required are maintained in good order to comply with contractual requirements.
• Familiar with the Submittal and RFI Packages Procedure and Processes.
• Work with project department leads to ensure timely processing of documentation. May occasionally be required to manage day-to-day operations of the Document Control Team.

Minimum Qualifications:

• Bachelor's Degree or equivalent experience
• 1-3 years of project experience in a Document Control or similar role, working in transportation infrastructure development or the construction industry.
• Must have experience with Microsoft Office
• Experience with ProjectWise (ProjectWise Explorer and ProjectWise Deliverables Management), SharePoint, Bluebeam, Plan Grid, and Microsoft 365 is preferred.
• Excellent organization, coordination, and prioritizing skills.
• Strong reading, comprehension, and written retention skills.

Compensation:

Expected Salary (all locations): $70,000-$75,000/year
