Job summary

C.H. Guenther & Son is seeking a document control specialist to administer and safeguard company information assets, ensuring up-to-date, accessible records compliant with regulations.

You will work cross-functionally to maintain accuracy, oversee the document management system, and implement storage and destruction policies. The role requires an associate degree or equivalent experience with at least 3 years in document control, plus strong organizational, communication, and problem-solving

Qualifications

  • Education/Certifications and Experience: Associate's degree in a related field, or equivalent work experience.
  • Minimum of 3 years of experience in document control or a related field, preferably in a regulated industry.
  • Knowledge of regulatory compliance requirements.

Responsibilities

  • Administers document and record control operations, policies, and procedures for secure management and access of company information assets.
  • Maintains and enforces security protocols for access, storage, backup, maintenance, reproduction, protection, and disposition of all documents.
  • Oversee the document management system, ensuring documents are correctly catalogued, stored, and accessible.
  • Establishes and implements policies and procedures regarding document storage, sharing, transmission, and destruction.
  • Evaluates existing document management systems and procedures to determine current effectiveness and efficiency; identifies and recommends improvements.
  • Consults with end users to identify problems in accessing electronic content.
  • Ensures security of system and integrity of master documents by implementing document and system access rights and revision controls.
  • Ensures company complies with applicable laws and regulations regarding data security and document management.
  • Communicates and consults with other staff when assessing, acquiring, or deploying new electronic document management systems to ensure smooth transition and minimal disruption.
  • Maintains current knowledge of best practices and developments in document management technologies and techniques through participation in professional organizations or conferences, attendance at meetings or workshops, participation in educational programs, and discussions with colleagues.
  • Performs other related duties as assigned.

Minimum Job Requirements

Education/Certifications and Experience: Associate's degree in a related field, or equivalent work experience Minimum of 3 years of experience in document control or a related field, preferably in a regulated industry. Knowledge of regulatory compliance requirements.

The salary range for this role is: $23.59 - $39.04 Actual compensation may vary based on job-related knowledge, skills, and experience, as well as geographic location.
