Job summary

Miltec UV Corporation seeks a detail-oriented Document Control Administrator to join the Quality Department. You will manage controlled documents, ECO processes, and quality records across departments, ensuring accuracy and compliance.

The role emphasizes training support, data reporting, and continuous improvement within a manufacturing environment. You will collaborate with Engineering, Manufacturing, and Materials teams, maintaining document control and QA workflows while supporting audits

Qualifications

  • Associate degree preferred in engineering, technical, business, or quality-related discipline.
  • 3–5 years in Document Control, Quality Systems, or a manufacturing setting.
  • Experience managing document lifecycles, revisions, and controlled records.
  • Experience with document management tools and ERP/MRP systems preferred.
  • Proficient with SharePoint and Microsoft Office Suite.
  • Strong attention to detail and effective communication.

Responsibilities

  • Create, revise, format, release, distribute, and archive controlled documents (SOPs, work instructions, forms).
  • Maintain document control system with versioning, revision history, and traceability.
  • Administer ECO process from initiation to closure and update BOMs.
  • Coordinate with Engineering, Manufacturing, Quality, and Materials teams.
  • Support CARs/SCARs workflows and quality record maintenance.
  • Develop tracking databases, dashboards, and reports for audits and training.

POSITION OVERVIEWThe Document Control Administrator is a key member of the Quality Department, providing support across all departments and ensuring the effective administration of the Document Control and Quality Management Systems. This role requires a high level of proficiency in document control and quality system processes, with a strong focus on accuracy, compliance, and consistency. The ideal candidate demonstrates exceptional attention to detail, strong communication skills, and the ability to train and support employees in the proper use of Document Control and Quality Management System processes as outlined in the duties and responsibilities.

Document & Records ManagementCreate, revise, format, release, distribute, and archive controlled documents including Standard Operating Procedures (SOPs), Work Instructions, Forms, Engineering Drawings, Specifications, and Engineering Change Orders (ECOs).Maintain document control system to ensure proper version control, revision history, and document traceability.Manage electronic and physical document storage, retrieval, retention, and disposition activities.Verify documentation for completeness, accuracy, proper approvals, and compliance with established procedures before release.Ensure obsolete documents are removed from points of use and appropriately archived.Coordinate controlled distribution of documents to authorized employees and departments.Support departmental staff with document creation, updates, formatting, and revision activities.Maintain document indexes, logs, and tracking systems to ensure accessibility and traceability.

Engineering Change & Configuration ManagementAdminister the Engineering Change Order (ECO) process from initiation through implementation and closure.Prepare, route, track, and maintain ECO documentation and approval records.Update Bills of Material (BOMs), Bills of Manufacturing (BOMfg), part numbers, and associated records within Miltec's MRP system.Coordinate with Engineering, Manufacturing, Quality, and Materials teams to ensure timely implementation of approved engineering changes.Maintain configuration control of engineering drawings, product specifications, and revision-controlled records.Schedule and facilitate change review meetings to support timely processing of engineering changes.

Quality Management System AdministrationSupport the maintenance and effectiveness of Miltec's Quality Management System.Administer Corrective Action Reports (CARs), Supplier Corrective Action Reports (SCARs), and associated quality system workflows.Coordinate corrective action activities, assign tasks, monitor progress, and maintain quality records.Track quality system metrics and maintain associated databases and reports.Assist with quality system reviews, process improvements, and continuous improvement initiatives.Ensure quality records are maintained in accordance with retention and internal process requirements.

Training Management & ComplianceEvaluate document revisions to determine training requirements and employee impact.Coordinate training activities associated with new or revised procedures, work instructions, forms, and quality system requirements.Notify trainers, supervisors, and affected employees of required training activities.Maintain accurate employee training records, including:Training datesRevision levelsTraining materialsTrainer approvalsCompetency verificationEnsure training records are linked to document revisions for complete traceability.Conduct and support training related to document control processes, QMS requirements, ECO processes, CAR processes, and related systems.

Audit & Compliance SupportPrepare and organize documentation for internal, customer, and other audits.Provide timely retrieval of records and objective evidence during audit activities.Support audit findings, corrective actions, and follow-up activities.Assist in auditing internal processes and supplier quality systems as assigned.Verify documentation practices comply with company procedures, customer requirements, and applicable quality standards.

Data Management & ReportingDevelop and maintain tracking databases, dashboards, and reporting tools supporting quality and document control activities.Generate status reports for document revisions, ECOs, CARs, SCARs, training compliance, and audit activities.Analyze trends and performance metrics to identify opportunities for process improvement.Support management reviews with data collection and reporting activities.Ensure the integrity, security, and accessibility of quality-related data and records.Cross-Functional Support & Continuous ImprovementServe as a subject matter resource for document control and quality system processes.Collaborate with Engineering, Manufacturing, Materials, Operations, and Quality teams to improve workflow efficiency.Recommend improvements to document management systems, workflows, and business processes.Participate in continuous improvement initiatives that enhance compliance, efficiency, and effectiveness.Support special projects and additional Quality Department initiatives as assigned.

Minimum QualificationsEducationAssociate degree preferred; Engineering, Technical, Business, or Quality-related discipline.Equivalent combination of education and relevant experience may be considered.

Experience3-5 years of experience in Document Control, Quality Systems, Engineering Administration, or a related function within a manufacturing environment.Experience managing document lifecycles, revisions, approvals, retention schedules, and controlled records.Experience supporting corrective action systems and engineering change management processes preferred.Experience using Affinity Designer, Adobe InDesign, and Canva is a plus.

Technical SkillsProficiency with SharePoint, Microsoft Office Suite, and document management systems.Experience with SolidWorks PDM or comparable Product Data Management (PDM) systems preferred.Experience with ERP/MRP systems and Bill of Material maintenance.Working knowledge of Quality Management Systems and compliance requirements.Database development, reporting, and data analysis experience preferred.

WORK HOURSMiltec business hours are Monday through Friday, 8 am to 5 pm.
