Job summary

Troutman Pepper Locke LLP in New York is seeking a Docketing Analyst to manage IP docket portfolios, ensure accuracy, and support attorneys and staff with deadlines and client information.

Qualifications

  • Minimum of five years of progressive Intellectual Property docketing experience in Trademark.
  • Experience with domestic and foreign trademark and TTAB matters.
  • High school degree or equivalent; college degree or paralegal training beneficial.

Responsibilities

  • Read, sort, and distribute incoming mail from the USPTO and other agencies.
  • Ensure daily docket clearance and maintain filing logs.
  • Provide guidance on complex docket questions to IP team.
  • Maintain accurate docket database and generate reports.
  • Save client documents in PATTSY and upload to matter pages.
  • Process abandoned and/or inactive files.
  • Maintain electronic docket calendar for domestic and international matters.
  • Maintain confidentiality with attorneys, staff, and clients.
  • Ensure docketing accuracy within CFR and other authorities.
  • Maintain e-files in IP Management System/iManage.
  • Lead audits and mass bibliographic updates; assist with intakes as needed.

Job description

Job Overview

The Docketing Analyst will provide daily detailed, accurate information to IP attorneys and staff regarding client information and deadlines, assisting the overall effective operations of the Docket Department. The Analyst maintains assigned docket portfolios, including complex and high‑visibility clients and matters, according to established policies and procedures, and performs all job functions for review of documents in alignment with established process and procedure, exercising discretion and confidentiality in maintaining contact with clients, attorneys, and staff for docket‑related matters.

Responsibilities
  • Read, sort, and distribute incoming mail from the USPTO, other foreign government agencies, and/or foreign associates in a timely manner and in accordance with established procedures.
  • Ensure daily full docket clearance, monitoring workflow and maintaining the integrity of the filing logs.
  • Provide guidance and respond to more complex docket‑related questions and problems from the IP team of attorneys and staff.
  • Maintain an accurate docket database and provide reports as required.
  • Save client and legal documents to PATTSY; upload images to the matter‑level PATTSY page.
  • Process abandoned and/or inactive files.
  • Maintain and distribute an electronic global docket calendar for domestic and international patents, trademarks, and inter‑parties.
  • Maintain positive contact with attorneys, staff, and clients while observing confidentiality of the Docket Department and firm’s clients.
  • Ensure the accuracy and completeness of docketing of documents received from the USPTO within the requirements set by the Code of Federal Regulations and other applicable authorities.
  • Maintain e‑files through the firm’s IP Management System/iManage integration.
  • Lead various audits, including US pair inconsistencies, bibliographic audits, and PTO audits for formalities.
  • Lead the team in completing successful mass updates, such as mass bibliographic data updates; assist with intakes as needed.
Qualifications & Abilities
  • In‑depth knowledge of US and international trademark law with the ability to immediately apply knowledge to docket actions.
  • Strong knowledge of docket software applications.
  • Excellent proofreading skills.
  • Ability to identify and analyze complex issues and problems with managing data, including identifying discrepancies in audits and biographical data and recommending effective resolution.
  • Effective verbal and written communication skills.
  • Ability to work under pressure while producing high volumes of information with a high level of accuracy.
  • Strong attention to detail.
  • Ability to work independently and as a strong team member.
  • Ability to work closely with all departments in understanding their processes to assist with day‑to‑day operations of the IP and HSIP Practice Groups.
  • Effective interpersonal skills to communicate and follow instructions from a diverse group of attorneys and staff.
  • Capacity to multi‑task, work independently with limited supervision, and produce high‑quality results under pressure.
  • Proficiency in Microsoft Office Suite.
Education & Experience

High school degree or equivalent. College degree or equivalent specialized training (e.g., paralegal studies) beneficial. Minimum of five (5) years of progressive Intellectual Property docketing experience in Trademark, with strong experience with domestic and foreign trademark and TTAB matters.

Compensation

Hiring Salary Range: $70,000.00 – $110,000.00.
