Health & Human Services Commission in Austin, Texas, seeks a Division Coordinator to lead the Division Coordination Office under the Director of System Support Services. This role provides strategic leadership, cross‑divisional project oversight, executive communications, and governance of complex initiatives.

The incumbent will guide staff, manage budgets, ensure timely deliverables, coordinate legislative activities, and deliver data-driven insights with dashboards for leadership

Qualifications

  • 5 years of progressively responsible experience in executive operations, project management, policy/legislative coordination, organizational administration, or a closely related area.
  • Experience leading and managing professional staff, teams, programs, or organizational functions.
  • Experience coordinating executive-level initiatives, assignments, or operations.
  • Experience developing, reviewing, or coordinating executive communications and reports.
  • Experience collaborating across multiple divisions, agencies, or stakeholder groups to achieve objectives.

Responsibilities

  • Manages the Division Coordination Office and provides strategic leadership, oversight, and accountability for division-wide coordination, executive assignments, special projects, workflow automation initiatives, and cross-division or cross-agency efforts that support SSS leadership priorities.
  • Directs and prioritizes the work of the Division Coordination Office, establishing roles, assignments, deadlines, tracking mechanisms, and escalation processes to ensure timely completion of leadership requests, Commissioner Tracking Assignments (CTAs), action memoranda, executive briefings, and other high-priority deliverables.
  • Directs SSS communications and executive support functions, including executive memoranda, briefing materials, one-pagers, reports, presentations, SharePoint content, internal and external communications, and division-wide messaging; ensures products are accurate, consistent, and appropriately reviewed and approved.
  • Provides oversight and direction to the SSS Project Management Office, including project governance, intake and prioritization, portfolio management, project reporting, risk management, resource coordination, and delivery support for strategic and operational initiatives.
  • Coordinates and oversees legislative, policy, and government relations activities for SSS, including bill analyses, implementation planning, legislative reporting, inquiries, rule projects, statutory initiatives, policy and circular updates, and coordination with Government Relations and executive offices.
  • Leads division reporting, analytical, and decision-support functions, including performance metrics, dashboards, audit and compliance tracking, operational planning, organizational reporting, Support Services Agreements, budget-related reporting, exceptional item coordination, cost-containment activities, and other recurring or ad hoc assignments.
  • Manages Division Coordination Office and S2 budgets in coordination with SSS leadership and the HHSC Chief Financial Officer and supervises assigned staff to ensure effective operations, accountability, and continuous improvement.

Brief Job Description:

The Manager VI leads the Division Coordination Office (DCO) under the general direction of the Director of System Support Services (SSS). Performs highly advanced managerial work directing the DCO team. Provides strategic leadership, coordination, and oversight of division-wide projects, legislative initiatives, executive communications, reporting, workflow management, and organizational accountability functions. Serves as the central coordination point for executive priorities, special initiatives, and cross-functional efforts that support division leadership and organizational objectives.

Exercises extensive latitude for independent judgment and initiative in managing staff, facilitating collaboration across divisions and agencies, resolving competing priorities, and ensuring timely execution of commitments, deliverables, and executive directives. Additional Information:

  • Some flexibility in hours may be required, including occasional extended hours.
  • This position is located in Austin, TX and may allow a hybrid telework schedule with required on-site work at the HHS North Austin Complex. Telework is subject to change based on business needs and management directives. When telework is allowed, it requires reliable personal internet and a workspace that supports the protection of confidential information.
