Job summary

HPC-Industrial, powered by Clean Harbors, is seeking a District Administrator to join our safety‑driven team in Commerce City, CO. You will handle payroll reconciliation, vendor PO management, billing and monthly financial close.

This role reports to the branch and supports back‑office operations, with travel up to 30%, and requires a Bachelor's or equivalent experience, strong Excel skills, and a valid US passport.

Qualifications

  • Bachelor's degree preferred; in lieu of BS, 4+ years' combined industry experience accepted.
  • 2–5 years of business, invoicing, accounting or finance experience in a related industry and management experience preferred.
  • Experience preparing invoices and managing budgets, forecasts and financial reports.

Responsibilities

  • Ensure health and safety is the top priority by following policies and acting safely.
  • Manage daily Quote to Cash tasks: worksheet review, billing/invoicing, customer PO management, contract compliance, vendor PO management, cash application, collections.
  • Oversee payroll reconciliation, vendor PO management, billing/invoicing and monthly financial close for assigned branch/area.
  • Lead data accuracy in time entry, approve hours, resolve discrepancies, and prepare data for payroll processing; support month-end close and P&L accuracy.
  • Serve as first point of contact for escalated Revenue (Q2C) compliance needs (e.g., Credit & Rebill, Contract Pricing).
  • Meet KPI targets for branch administration (DSO, accruals, vendor invoices, payroll, close, reconciliations).
  • Travel to customer sites as needed; report to the Customer site daily in Commerce City, CO; remote/hybrid not allowed.

The District Administrator - Industrial Services is responsible for daily payroll reconciliation, vendor purchase order management, billing/invoicing and monthly financial closeout for assigned branch or branches. The District Administrator is responsible for general administrative functions and providing management with a support function that improves the overall quality of the “back office” business.

Responsibilities
  • Ensures Health and Safety is the number one goal by following policies, processes, and acting in a safe manner at all times.
  • Responsible for daily completion of tasks related to the Quote to Cash process: Worksheet review, daily billing/invoicing, customer PO management, customer contract compliance, vendor PO management, cash application, collections, etc.
  • Responsible for daily payroll reconciliation, vendor purchase order management, billing/invoicing and monthly financial closeout for assigned branch/area.
  • Lead frontline processes by ensuring accurate time entry detail, validating and approving hours worked, resolving discrepancies with employees and supervisors, and preparing all data for timely payroll processing. Lead branches in the financial close process/questions (making sure revenue/cost is accrued, ensuring accuracy of Profit and Loss statements)
  • First point of contact to assist and support resolution of escalated issues for Revenue (Quote to Cash) compliance needs (Ex: Credit & Rebill, Contract Pricing, Non-Con, IP, No-Show)
  • Meet requirements of Key Performance Indicators (KPI's) of branch administration functions, such as DSO, Accruals, Vendor invoice, payroll, monthly close and other reconciliations. Support Facility and Customer initiatives and events as needed (Large event, New large customer)
  • Assist branches in financial close process/questions (making sure revenue/cost is accrued, scrubbing P&L’s)
  • This specific position opening requires the District Administrator to report to the Customer site on a daily basis (M-F) in Commerce City, CO. Candidate must possess a valid driver’s license and have reliable transportation. Remote or Hybrid work are not options for this opportunity
Qualifications
  • Bachelors degree in business, management, accounting or finance preferred. In lieu of BS degree, 4+ years of combined industry and professional development will be accepted.
  • 2-5 years of business, invoicing, accounting or finance in a related industry and management experience preferred.
  • Experience should include experience preparing invoices and managing budgets, forecasts and financial reports.
  • Microsoft Office Tools: Proficiency in Microsoft Office Suite including Excel, Word, Powerpoint, Outlook + Calendar management. Special emphasis on proficiency with Excel, formulas, and pivot tables.

  • Demonstrated understanding of finance and accounting terminology.
  • Understanding of industry terminology a plus.
  • Ability to travel up to 30% of the time.
  • A Transportation Worker Identification Credential (TWIC) is not required for this site. However preference is that the candidate possesses a valid TWIC or has the ability to obtain one within 3 months of hire.
  • Must posses a Valid US Passport or the ability to obtain one within 3 months of hire.
