Job summary

USA Waste and Recycling in Connecticut is seeking a Dispatcher/Office Administrator to coordinate schedules, manage customer communications, and perform a range of administrative duties to keep office and field operations running smoothly.

As the central liaison between customers, drivers, and internal teams, you will dispatch trucks, optimize daily routes, handle same-day requests, and maintain accurate records while delivering exceptional service and operational excellence.

Qualifications

  • At least 1 year in a high-stress, fast-paced office environment.
  • Experience with Microsoft Office suite.

Responsibilities

  • Schedule same-day and next-day services with residential drivers and other drivers.
  • Perform receptionist duties: answer phones, take messages, assist customers, transfer calls.
  • Keep supervisor informed of issues needing attention.
  • Schedule appointments and update calendars as needed.
  • File and retrieve corporate records and reports.
  • Maintain an accurate file system promptly.
  • Meet and greet clients and visitors; facilitate driver check-in.

Position Summary

The Dispatcher/Office Administrative Assistant plays a vital role in supporting daily operations by coordinating schedules, managing customer communications, and performing a variety of administrative duties to ensure efficient office and field operations. Serving as the central point of communication between customers, drivers, and internal teams, this hybrid role is responsible for tracking service requests, maintaining accurate records, and ensuring the timely completion of work. This position is responsible for dispatching trucks and coordinating daily routes to maximize efficiency while ensuring all scheduled work, including same-day service requests, is completed. The Dispatcher/Office Administrative Assistant monitors route progress, addresses scheduling changes, communicates updates to customers and field personnel, and provides administrative support to help maintain a high level of customer service and operational excellence.

Your Role
  • Working with residential drivers, as well as other drivers to schedule same-day and next-day services.
  • Perform receptionist duties, which include answering phones, taking messages, providing customer assistance, and transferring calls.
  • Keep the immediate supervisor fully informed of all problems or matters requiring his/her attention.
  • Schedule appointments and update calendars as necessary.
  • File and retrieve corporate records, documents, and reports.
  • Maintain an accurate file system promptly.
  • Meet and greet clients and visitors.
  • Facilitate driver check-in.
  • Perform required data entry and minor customer service responsibilities.
  • Work all assigned shifts from the scheduled start time to the scheduled end time.
  • Take an active role in improving safety and health in the workplace.
  • Participate in required Company meetings, including weekly safety meetings.
  • Maintain reasonable, regular, punctual attendance consistent with Company policies, Americans with Disabilities Act (ADA), Family and Medical Leave Act (FMLA), and other federal, state, and local standards.
  • Adapts to changing duties, as required, based on business needs.
Supervisory Responsibilities
  • Provide immediate directions to drivers.
  • Acts as primary supervisor to handle minor problems.
  • Recommend discipline to managers.
  • Interacts with drivers throughout the workday to ensure routes are done most efficiently while maintaining an acceptable level of customer satisfaction.
