Job summary

The Claremont Colleges Services is looking for a Director, Systems Training to train new employees on Finance systems such as Workday modules. This full-time position is responsible for creating training content and ongoing training support.

The successful candidate will have a Bachelor's degree and substantial experience in training. The salary range is $100,000 to $136,000, and remote work options are available.

Qualifications

  • 5+ years of training experience, 3 years preferred in an academic institution.
  • Knowledge of Workday modules specifically related to Expenses, Suppliers, Time Tracking.
  • Ability to manage multiple tasks and meet deadlines.

Job description

Job Purpose

The Director, Systems Training is responsible for training new employees and providing refresher training on Finance systems such as Workday modules including Time Tracking, Payroll, Supplier Invoices, Expense Reports, Customer Invoices, Adaptive Planning, and other related functions. The role also updates all Workday job aides in the Workday Resources application during each bi-annual Workday update and runs the Finance regression testing for Pomona College. The position works closely with Human Resources and Finance Operations to ensure policy and procedure updates are communicated to new employees.

Essential Functions
  1. Partner with the Assistant Controller of Finance Operations and Human Resources to reach out to all new employees and train them on Workday tasks/modules either in person or via Zoom:
    • Time Tracking
    • Payroll – Payslips/Direct Deposit/W‑2s/Tax Elections
    • Suppliers
    • Customers
    • Expenses
    • Viewing reports
    • Navigation
    • Adaptive Planning
    • Other as may be needed
  2. Run the bi-annual regression testing for Pomona College:
    • Review the “What’s New Report” and update Finance testing scenarios for automatically available functionality. Email to testers.
    • Prepare the list of reports to be tested by report owners/designated testers. Email to report testers.
    • Update job aides on Workday Resources including training videos.
  3. Create Workday training videos for most used tasks.
  4. Develop and run quarterly “Lunch ’n Learns” or other training programs with administrators/coordinators to assist users with new functionality and pain points.
  5. Develop programs to provide refresher training for staff and faculty.
  6. Work with the Dean’s office to assist academic departments and chairs in the use of Workday.
  7. Develop and maintain an online training program that includes video trainings with questions/tests to ensure user understanding of the materials.
  8. Coordinate special projects/tasks and provide guidance and/or assistance as assigned.
Qualifications

Education/Licenses/Certificates
Bachelor’s degree in Instructional Design/Educational Technology, Human Resources Management, business administration, or a related field is required, or an equivalent combination of education and experience. Certified Professional in Training Management (CPTM™), Certified Instructional Designer/Developer (CID/CDD), Certified eLearning Specialist (CeLS) or a similar certification is required.

Experience
Minimum of 5 years of training experience; 3 years of experience at an academic institution is preferred.

Knowledge and Critical Skills
1. Working knowledge of Workday modules and business processes, specifically Expenses, Suppliers, Time Tracking, Payroll, Customers, and others as needed.
2. Deploy professional skills in training and education, collaborating with colleagues to promote the College’s strategic interests. Exceptional active listening skills with a strong customer service orientation to solve complex problems, answer unconventional questions, and take firm action when necessary.
3. Demonstrated effectiveness and clarity of verbal and written communication with excellent interpersonal communication skills to facilitate, motivate, and inspire a diverse group of employees and stakeholders from a wide variety of backgrounds. Handle all activities and highly confidential information with patience, discretion, tact, and attention to detail.
4. Operate computers with basic Microsoft Office software (Word, Excel, Outlook) and other professional software such as Workday. Demonstrated understanding of technology to assess and improve department systems and processes to achieve annual goals and maintain confidentiality.
5. Handle multiple tasks, meet deadlines, and work both independently and as a collaborative member of the College supporting the College’s strategic vision and division’s annual goals with a high standard of integrity and ethics.
6. Exceptional organizational, time management, and quantitative analytical skills to complete work with accuracy and attention to detail.
7. Understand the mission of the College’s liberal arts environment.

Required Hours and Work Arrangement

The regular hours for this full-time position are 8:00a.m. to 5:00p.m., Monday–Friday. Holiday, weekend, and evening work hours may be required. Travel may be required. Remote work up to two days a week is optional.

Additional Position Details

This is a regular, full-time, exempt position. Annual salary is between $100,000 to $136,000 with a competitive benefits package. All staff positions are ineligible for visa or permanent resident card sponsorship. As a California employer, Pomona College requires all employees to be residents of California.
