This role owns large center-wide events, coordinates with Campus Ministry, Worship, Advancement and Marketing, and advances the Center's culture of hospitality through white-glove service and meticulous operational execution.

Qualifications

  • Minimum 5 years’ experience in hospitality or a related field.
  • Working knowledge of basic accounting and budgeting principles to collaborate with SJFS.
  • Experience with Bill.com or similar accounts payable and expense platforms.
  • Strong organization and attention to detail.
  • Effective communication, ability to work independently, discretion and judgment, follow-through on projects.
  • Willingness to work flexible hours, including weekends.

About The Role:

The Director of Center Operations manages the day-to-day operations of the Center, including facilities, security, events, and the office secretary, and serves as the Center’s liaison to St. Joseph Financial Services (SJFS) on budgeting, financial workflows, and tax matters. The role owns large center-wide events and works closely with Campus Ministry, Worship, Advancement, and Marketing. This role helps strengthen donor relationships through white-glove hospitality and advances the Center’s mission-critical culture of hospitality.

What You’ll Do/Responsibilities:

Center Operations and Hospitality Services

  • Oversee the management of all facilities, including landscaping, cleaning, break-fix items, and preventative maintenance.
  • Serve as the primary point of contact for the outsourced janitorial/cleaning vendor, ensuring service quality and coverage across the Center.
  • Manage IT needs via the Center’s IT consultant and manage security scheduling and duties with the contracted security service.
  • Train and schedule event captains.
  • Own the operational execution of every event held at the Center, whether it is an outside event request, a Campus Ministry event, or an Advancement donor event, managing proposals, logistics, and day-of implementation, in close partnership with Campus Ministry and Advancement staff on each event’s content and goals.
  • Own and coordinate large center-wide events (e.g., Trojan Saint Dinner, Christmas Tree Lighting), working with each department to make every event a success.
  • Schedule biannual safety drills with students and staff.
  • Coordinate craftsmen work schedules for special projects/installations, and schedule annual required inspections (boiler, elevator, backflow, etc.).
  • Approve and report federal work study hours to the USC HR department.
  • Order PPE and general office/facility supplies as needed.
  • Serve as the Center’s primary liaison with St. Joseph Financial Services (SJFS), the Center’s outsourced finance, accounting, and payroll provider. Get SJFS complete records on time, answer its questions, and route open items to the right staff.
  • Work with SJFS and Center leadership on the annual budget by gathering operational inputs and assumptions from each department. Review the monthly Budget to Actual report and flag variances to the Chief of Staff.
  • Manage the Center’s day-to-day financial workflows with SJFS and Office Secretary. That covers vendor bills and W-9 collection in Bill.com, deposit and check request forms, and staff credit card activity in Bill Spend & Expense.
  • Coordinate Sunday collection with Office Secretary counting and confirm that deposits and their documentation reach SJFS.
  • Attend regular SJFS advisory meetings, review financial materials prepared by SJFS for Finance Council meetings.
  • Oversee tax matters outside the SJFS agreement and coordinate with outside tax preparers as needed.

Cross-departmental Partnership

  • Supervise the Office Secretary.
  • Build strong working relationships across Campus Ministry, Worship, Advancement, and Marketing so each department’s events succeed.
  • Perform other duties as assigned.
Requirements

Qualifications/What We Are Looking For:

  • A practicing Catholic with a passion for the Center’s mission and a desire to help build a welcoming, faith-filled community at USC.
  • A minimum of 5 years’ experience in hospitality or a related field.
  • Working knowledge of basic accounting and budgeting principles, enough to work with SJFS on budgets, monthly records, and tax matters.
  • Experience with Bill.com or a similar accounts payable and expense platform (preferred).
  • Demonstrated competence in organization and attention to detail.
  • Ability to communicate effectively, work independently on routine matters, exercise discretion and good judgment, and follow through on projects until completion.
  • Willingness to work flexible hours, including weekends.
  • Ability to pass a background check.

Work Schedule

  • This is an in-person job.
  • The standard work week is 40 hours. You will work a five-day week, Monday through Friday, on a schedule set with your supervisor. Full in-office days, core hours, and remote-work eligibility are set out in the Employee Handbook, Work Schedule Policy.
  • Given the nature of events, this position requires flexibility to work weekends; your scheduled days off may fluctuate accordingly.

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
