Job summary

Zanes Law Injury Lawyers is seeking a Director of Administration to build and lead the operational foundation across our Phoenix offices and distributed global workforce. This senior role oversees offices, recruiting, facilities, technology coordination, and vendor management to support high performance and exceptional client service.

The position requires 7+ years in administration/operations leadership, with experience in a non-corporate setting and managing remote teams.

Qualifications

• 7+ years of leadership experience in administration, operations, HR, or law firm management.
• Experience in a non-corporate environment with 50-100 employees.
• Experience managing facilities, vendors, and administrative systems.
• Strong employee relations and communication skills.
• Experience supporting both in-office and remote teams.

Responsibilities

• Lead the firm's employee experience from recruitment through onboarding, ongoing support, and offboarding.
• Manage recruiting logistics and hiring administration in partnership with department managers.
• Oversee the administrative operations of our distributed global workforce, including recruiting, onboarding, technology coordination, communication, and support.
• Serve as a trusted resource for employees regarding workplace questions, handbook interpretation, policies, and administrative matters.
• Support managers with employee relations, documentation, and workplace issues. Oversee the Phoenix and Tucson offices, including landlords, facilities, vendors, maintenance, and office improvements.
• Manage office equipment, technology coordination, firm assets, and purchasing.
• Manage vendor relationships, contracts, subscriptions, and renewals.
• Directly supervise two Front Office Assistants.
• Provide executive updates on significant administrative matters and help maintain business continuity when executive leadership is unavailable.

We're looking for a Director of Administration to build and lead that foundation.

This is a senior leadership role responsible for the administrative infrastructure that keeps our firm operating at a high level every day. You'll oversee our offices, employee experience, facilities, recruiting and onboarding, technology coordination, vendors, administrative systems, and workplace operations while supporting both our U.S.-based team and our distributed global workforce.

This is not an office manager position. This is not an HR generalist position.

What You'll Bring

• 7+ years of leadership experience in administration, operations, HR, professional services, or law firm management. Experience hiring, onboarding, coaching, and supporting employees.
• Experience in a non-corporate environment 50 -100 employees in size.
• Experience managing facilities, vendors, office operations, and administrative systems. Strong employee relations and communication skills. Experience supporting both in-office and remote teams.
• Experience with distributed global teams is strongly preferred. Excellent organizational and project management abilities.

Compensation & Benefits

Base Salary: $100,000 to $120,000, depending on experience. Performance-based bonus opportunity tied to overcall company performance. 401K, two profit sharing plans Health Insurance 95% company paid, Dental, Vision, Life, STD, LTD Full-time, in-office leadership position based in Phoenix. Occasional same day travel to the Tucson office as business needs require.
