Position Summary

Responsible for the overall physical operation of the facility which includes maintenance, housekeeping and security; supervision of the Maintenance Department staff and following the standards set forth by the Facilities Department.

Responsibilities/Accountability
  • Perform overall supervision of the Facilities Department including hands‑on performance of maintenance and repair work and snow removal as required;
  • Survey facilities on a regular basis to insure the preventative maintenance program, housekeeping tasks and security are being performed on a regular basis;
  • Ensure that the facilities are prepared for the annual MassHousing Property Management Review, REAC federal inspection, and Randolph Building Authority Inspections, State Elevator Inspection, and Fire Department Inspection;
  • Participate in Project Management;
  • Develop policies and procedures to be used in the Facilities Department;
  • Enforce staff compliance with all safety rules and regulations, including federal, state and local codes or regulations;
  • Hold regular scheduled maintenance department meetings and ensure that staff is provided with in-service training on an on‑going basis;
  • Maintain the building in good repair, in pristine cleanliness, and free of hazards such as those caused by electrical, plumbing, heating and cooling systems, etc.;
  • Maintain the building and grounds in compliance with federal, state and local codes and laws;
  • Prepare lease violations as necessary Monitor the PM program to ensure the fire alarm, fire protection system, emergency generator systems, fire extinguishers are all in good working order, tests on fire alarm, emergency generator and other systems are performed as per established schedule and the required records of test results are being kept;
  • Maintain required records and reports as outlined in the policies and procedures of the Facilities Department;
  • Prepare capital and operation budget for the Facilities Department;
  • Orient and instruct all maintenance personnel and encourage progression development and training of staff;
  • Participate in and plan in-service programs, as necessary;
  • Attend Department Head Meetings and Hebrew SeniorLife Facilities Directors Meetings;
  • Recruit, interview, hire and provide orientation for all employees of the Facilities Department;
  • Review and evaluate the work performance of Facilities Department personnel as well as counsel/discipline assigned personnel according to established company policy;
  • Create and present RFPs and negotiate contracts;
  • Perform other responsibilities, as may be required, and as directed by the Executive Director;
  • Manage the ordering and requisitioning of supplies and equipment as needed and prepare purchase orders;
  • Oversee the performance of the regular daily, weekly and monthly maintenance checks, as shown on “Preventive Maintenance Calendar”;
  • Assign duties and work assignments;
  • Prepare monthly Maintenance Department Schedule;
  • Cooperate with other Fireman Community employees and department heads;
  • Concern him/herself with the safety of all Fireman Community members in order to minimize the potential for fire and accidents. Also, ensure that the facilities adhere to the legal, safety, health, fire and sanitation codes by being familiar with his/her role in carrying out fire, safety and disaster plans and by being familiar with current MSDS;
  • Update of the Emergency Preparedness Plan on an annual basis;
  • Put Customer Service first: Ensure that residents and family members receive the highest quality of service in a caring and compassionate atmosphere, which recognizes the individuals’ needs and rights through care, compassion, and innovation;
  • Maintain professional growth and development through seminars, workshops, and professional affiliations to keep abreast of latest trends in facilities management
Qualifications
  • Associates Degree
  • 5 years experience in electrical, plumbing, carpentry, drywalling, painting, and HVAC
  • Knowledge of Safety requirements
  • 1 – 2 years management/supervisory experience
  • Strong organization skills
  • Good written and verbal communication skills
  • Working knowledge of computer programs MS Windows and XP professional and Excel
  • Knowledge of Yardi as it pertains to purchase orders and work orders
  • Ability to work within budget guidelines
  • Ability to work well with others on a variety of professional tasks
  • Ability to positively interact with personnel, customers, family members, visitors, vendors, government agencies and the general public.
  • Hoisting license Class 1A/2C
  • Knowledge of OSHA guidelines
