Responsibilities

  • Serve as primary University administrator for 25Live by Collegenet, scheduling and approving space for meetings and events.
  • Identify, train, and assign responsibilities to superuser administrators across campus, monitor the operation of 25Live.
  • Liaise with Information Technology and Collegenet to ensure 25Live has latest updates and is used effectively.
  • Schedule space in buildings on campus and coordinate staff for setup/tear down.
  • Advise clients and facilitate event planning meetings; prepare set-up diagrams and coordinate reservations.
  • Oversee the Benham-Pence Student Center and Shouvlin Center operations including 30+ student staff.
  • Oversee special events such as Midnight Breakfast, Homecoming, and Commencement.
  • Support event managers for other campus-wide events as necessary.

Job Description:

Wittenberg University is accepting applications for the position of Director, Campus Scheduling & Event Services. The position will provide administrative and logistical support to a variety of clients across the Wittenberg community through management and leadership of the University scheduling system. They will ensure the successful execution of different types of university events, workshops, meetings, classes, and facility spaces. This position is responsible for ensuring that the multitude of details and mechanics required to produce events that are successful through high-quality coordination and management. Additionally, this position provides oversight for the Benham-Pence Student Center. This is a full-time, exempt-level position reporting to the Vice President of Finance and Administration.

Essential functions include but are not limited to:

Serve as primary University administrator for 25Live by Collegenet, scheduling and approving space for meetings and events, effectively using scheduling software to include allowance for set up, staffing and tear down by support services.

Identify, train, and assign responsibilities to superuser administrators across campus, monitor the operation of 25Live, and identify and recommend policy updates and campus wide operation needs.

Liaise as needed with Information Technology and Collegenet (software vendor) to ensure 25Live system has the latest software updates and is utilized by campus users in the most effective way. Contact as necessary to ensure efficient and user-friendly operation.

Act as a liaison when scheduling space in buildings on campus. Work with campus partners to ensure efficient policy implementation, scheduling operations, and set up processes.

Advise clients and facilitate event planning meetings as needed; prepare set-up diagrams, coordinate reservations and utilize the current scheduling systems.

Assist with the enforcement of facility policies and procedures along with customer service initiatives.

Create and manage a University event calendar ensuring effective communication and awareness of campus events.

Lead operations, programming, and student staff of the Benham-Pence Student Center and Shouvlin Center. This includes overseeing 30+ student staff members, serving as a receptionist to visitors, management of the games room and Founders pub, as well as liaising with contracted partners within the building to ensure student-focused operations.

Oversee special University events including but not limited to Midnight Breakfast, Cram Jam, and assist in support for Honors Convocation, Opening Convocation, Homecoming, Family Weekend, Sibs Weekend, Welcome Week, Involvement Fair, and Commencement.

Support event managers for other University-wide events or initiatives as necessary.

  • Perform other relevant duties as assigned such as special projects, programs, developmental activities, etc.

  • Ability to work with a variety of constituents, solve problems quickly and professionally, anticipate needs, and communicate proactively.
  • Competency and experience using Microsoft Office software, specifically proficient in the use of Excel, Publisher, Outlook, and PowerPoint with the ability and desire to learn additional software applications as necessary.
  • Night and weekend work may be required depending on campus events and needs.
  • Ability to lift up to 50 lbs. with assistance.
  • A valid driver's license is required; must meet required insurance qualifications found in Wittenberg Motor Pool policies and procedures.
