Qualifications

  • At least 4 years of professional experience in nonprofit fundraising, development operations, grants management, project coordination, or a related field.
  • Knowledge of the Jewish philanthropic landscape preferred but not required.
  • Experience with Salesforce (preferred) or a comparable CRM system.
  • Experience using project management platforms such as Monday.com, Asana, or similar tools.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple projects simultaneously and meet deadlines in a fast-paced environment.
  • Experience with budgets, financial data, or grant financial reporting preferred.
  • Excellent written and verbal communication skills.
  • Strong analytical and problem-solving abilities.
  • Proficiency in Microsoft Office, especially Excel.
  • Ability to work independently and across departments.

Responsibilities

  • Grants Management and Fundraising Operations: Maintain donor records, grant information, and fundraising activity in Salesforce; oversee grant tracking systems; generate reports and dashboards; support prospect research and foundation portfolio management; maintain donor records and funding history.
  • Project Management and Workflow Coordination: Manage Monday.com workflows; coordinate timelines across departments; monitor progress and ensure deadlines; develop streamlined grant processes; collaborate with program staff to collect reporting metrics.
  • Budget and Financial Coordination: Liaise between Institutional Giving and Finance; prepare, review, and track grant budgets; collect financial information for proposals and reports; ensure alignment with grant agreements.
  • Data Integrity and Systems Administration: Maintain data quality in Salesforce; create fundraising reports and dashboards; identify opportunities to improve data management and efficiency across Institutional Giving team.

Position

The Development Operations Senior Coordinator is a key member of the Development team, providing operational, data management, and project coordination support. This position helps ensure the effective management of institutional and individual fundraising efforts through the maintenance of accurate donor and grant records, coordination of grant workflows, budget tracking, and cross-departmental collaboration.

Working closely with Development, Finance, and Program teams, the Coordinator will help manage systems and processes that support proposal development, reporting, stewardship, and strategic planning, with a focus on institutional giving. Based in our NY office four days per week, and reporting to the Director of Institutional Giving, this role is ideal for a highly organized professional who enjoys data management, project coordination, and building efficient systems to support fundraising success.

Key Responsibilities

Grants Management and Fundraising Operations

  • Maintain accurate donor records, grant information, and fundraising activity within Salesforce.
  • Oversee grant tracking systems, ensuring proposal, report, payment, and stewardship deadlines are up to date.
  • Generate reports, dashboards, and fundraising data to support Ins titu tiona l Givi ng strategy and decision-making.
  • Support prospect research and foundation portfolio management activities.
  • Maintain donor records related to cont a cts, gifts, grants, correspondence, and funding history.

Project Management and Workflow Coordination

  • Manage Monday.com workflows for foundation proposals, reports, and related projects.
  • Coordinate timelines and deliverables across Development, Program, Finance, Marketing, and Operations teams.
  • Monitor project progress and follow up with colleagues to ensure deadlines are met.
  • Assist in the development and implementation of streamlined grant management processes and best practices.

  • Support team planning efforts by maintaining calendars, schedules, and project tracking systems.

Budget and Financial Coordination

  • Serve as a liaison between Institutional Giving and the Finance team regarding grant budgets and financial reporting.
  • Assist in the preparation, review, and tracking of grant budgets.
  • Coordinate the collection of financial information required for foundation proposals and reports.
  • Ensure budget information contained in proposals and reports aligns with grant agreements.

Data Integrity and Systems Administration

  • Maintain data quality within Salesforce through regular audits, updates, and process improvements.
  • Support the creation and maintenance of fundraising reports, dashboards, and prospect tracking tools.
  • Identify opportunities to improve data management and operational efficiency across the Institutional function.

Salary and benefits : The salary range for this position is $68,000 - $71,000, commensurate with experience. SHI NA offers a competitive benefits package.
