Job summary

St. Francis House, the State’s largest provider of day services for people experiencing homelessness, located in downtown Boston, seeks a Development Operations Associate.

You will support gift processing, acknowledgments, data maintenance in Raiser's Edge, and provide admin support for special projects and events for the Development department. You will be the first line of donor contact, handle donor inquiries, send weekly reports for gifts $500+, and help with stewardship to annual fund

Qualifications

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent verbal and written communication skills.
  • Ability to work independently and in a team.
  • Experience with nonprofit fundraising systems preferred.

Responsibilities

  • Process all gifts received at 39 Boylston Street and via lockbox.
  • Maintain donor records in Raiser's Edge.
  • Prepare and mail donor acknowledgments for gifts (approx. 25,000/year).
  • Respond to donor inquiries and monitor the Development inbox.
  • Submit weekly reports of gifts $500+ to the Development Team.
  • Provide admin support to the Development Department and assist with special projects.

Job description

FLSA Status: Non-Exempt

Schedule: Full-time; Monday - Friday; 8-hour shift scheduled between 8:00AM - 5:00PM. Remote work allowed after successful 90-day intro period; a maximum of two days remote with three onsite.

Job Summary

The Development Operations Associate supports a variety of Development functions including gift processing, gift acknowledgment, updating and maintaining data in Raiser’s Edge, as well as providing administrative support for special projects and events for the Development department. In addition, this role acts as a first line of contact for general donor inquiries and provides stewardship touchpoints to annual fund donors.

Essential Duties & Responsibilities
  • Processes all gifts that come to 39 Boylston Street and the lockbox company.
  • Maintains accurate records on all active donors in Raiser’s Edge database.
  • Prepares and mails timely donor acknowledgments for all gifts (approximately 25,000/year).
  • Responds to donor calls that come via the Front Desk.
  • Monitors Development department inbox.
  • Address donor questions and forward to appropriate staff when needed.
  • Send weekly report of $500+ gifts to Development Team.
  • Provides administrative support to the Development Department.
  • Assists with special projects in support of fundraising priorities.
  • Adheres to agency code of conduct.
  • Performs other duties as assigned.
Requirements
  • Self-directed with the ability to work both independently and as part of a team.
  • Proficiency in Microsoft Office Suite products (outlook, word, excel, power point).
  • Reliable, dependable, flexible and ready to jump in to assist.
  • Proficiency in English.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills with attention to detail.
  • Ability to function well in a fast-paced environment.
  • Basic understanding of and commitment to taking a person-centered, recovery-oriented, and trauma-informed approach.
  • Strong analytical and problem-solving skills.
Education & Experience
  • High School diploma or equivalent with three years of administrative assistant experience required.
  • Associate’s degree or higher in business administration, non-profit management, communication or related field with one to two years of related experience and/or training, preferred. Or combination of education and experience.
  • Familiarity with CRM platforms (ex: Raisers’ Edge) and /or data entry.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • Lived experience of homelessness and/or recovery a plus.
Work Environment & Activity
  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to lift up to 10-pounds, as needed.
  • Occasionally standing and moving throughout multi-level building.
  • Occasional evenings, holidays and weekend hours may be needed, for special events, projects, etc.
