Job summary

Health Care For All is seeking a Development Coordinator to support HCFA’s fundraising operations, maintain accurate donor records, process and acknowledge gifts, and support donor stewardship. The role works closely with the Director of Development to coordinate fundraising activities and prepare reports that inform HCFA’s fundraising strategy.

This position is ideal for someone who enjoys data accuracy, process improvement, and behind-the-scenes support to help fundraising efforts succeed.

Qualifications

  • 2+ years of relevant experience in development, fundraising operations, nonprofit administration, database management, or related field.

Responsibilities

  • Process and record charitable gifts, pledges, grants, and other contributions accurately and in a timely manner.
  • Prepare and send gift acknowledgments, tax receipts, and other donor correspondence.
  • Maintain accurate donor and gift records in HCFA’s donor database (Salesforce).
  • Track donor stewardship activities, pledges, acknowledgments, and follow-up items.
  • Support gift reconciliation with the Finance team.
  • Assist with maintaining development calendars, procedures, templates, and standard operating documents.
  • Identify opportunities to improve the accuracy, efficiency, and consistency of development operations.
  • Maintain accurate and complete donor, prospect, grant, and organizational records in HCFA’s fundraising database (Salesforce).
  • Conduct regular data reviews, updates, imports, and quality-control checks.
  • Create and maintain donor lists, mailing lists, reports, dashboards, and fundraising tracking documents.
  • Support donor segmentation, campaign tracking, and portfolio management.
  • Assist the Director of Development with preparing fundraising reports for organizational leadership, the Board of Directors, and funder or donor meetings.
  • Support staff in following database and development operations practices consistently.
  • Coordinate with vendors or consultants as needed to address database questions or technical issues.
  • Conduct research on prospective individual donors, foundations, corporate partners, and other funding opportunities.
  • Prepare concise donor and prospect profiles, briefing materials, and research summaries.
  • Maintain prospect lists, donor pipelines, portfolios, and moves-management tracking systems.
  • Assist the Director of Development with preparing for donor meetings, cultivation activities, and fundraising outreach.
  • Monitor publicly available information about current and prospective donors and funders.
  • Help identify prospective supporters whose interests align with HCFA’s mission and programmatic priorities.
  • Maintain HCFA’s grant calendar and track proposal, reporting, and renewal deadlines.
  • Support the preparation and submission of grant proposals, reports, attachments, and funder correspondence.
  • Maintain complete and accurate electronic files for foundations, corporate funders, and government grants.
  • Coordinate with staff across HCFA to gather program, financial, and outcome information required for proposals and reports.
  • Update funder records and track grant-related communications and next steps.
  • Provide logistical and administrative support for donor cultivation activities, the annual For The People fundraising gala, briefings, and meetings.
  • Manage registration lists, guest information, donor and sponsorship records, and follow-up tracking for fundraising events.
  • Assist with event-related communications, materials, vendor coordination, and attendee outreach.
  • Track sponsorship commitments, benefits, payments, and fulfillment.
  • Support post-event acknowledgments, data entry, reporting, and donor follow-up.
  • Other duties as assigned.

THE ORGANIZATION

Health Care For All (HCFA) is a state-based consumer health advocacy organization founded in 1985. HCFA’s mission is to advocate for health justice in Massachusetts by working to promote health equity and ensure coverage and access for all. The organization is recognized as a national leader in its work.

HCFA uses three strategies to conduct its work: direct service, community engagement, and policy and advocacy campaigns. HCFA helps tens of thousands of individuals and families in five languages enroll in and renew their health insurance coverage each year and troubleshoot health coverage issues through a unique, multi-lingual consumer assistance HelpLine. HCFA staff are also in the community working with a diverse group of local community- and faith-based organizations conducting outreach work, education efforts and supporting individuals to share their stories and play a role in policy change. HCFA uses the insights from HelpLine callers and community residents to shape the organization’s advocacy agenda. HCFA policy work is conducted through a health equity lens and strives to make care more equitable, affordable and accessible for everyone in the Commonwealth. HCFA leads and participates in numerous policy advocacy coalitions, and these coalitions bring together a wide variety of organizations to work collaboratively to make meaningful health policy changes. By uniting diverse constituencies, HCFA is able to magnify its policy reach on many fronts.

POSITION SUMMARY

Health Care For All is seeking a highly organized, detail-oriented, and mission-driven Development Coordinator to support HCFA’s fundraising operations and donor engagement activities.

The Development Coordinator will work closely with the Director of Development to maintain accurate donor records, process and acknowledge gifts, support donor stewardship, conduct prospect research, coordinate fundraising and donor-related activities, and prepare reports that help inform HCFA’s fundraising strategy.

This role is ideal for someone who enjoys creating order, improving processes, working with data, and providing thoughtful support behind the scenes to help fundraising efforts succeed. The Development Coordinator will collaborate with colleagues across HCFA and help ensure that donors and partners receive timely, accurate, and meaningful communications.

SUPERVISION

The Development Coordinator will report to the Director of Development and will work closely with members of the Finance team, and other HCFA staff.

WORK ENVIRONMENT

HCFA is a collaborative, mission-driven organization committed to health justice and health equity. This role is based in an office setting and follows HCFA’s hybrid work model, with staff working in the office three days per week and remotely two days per week.

This position may occasionally require attendance at donor meetings, organizational events, or other activities outside regular working hours.

HIRING TIMELINE

We will begin reviewing applications on a rolling basis, with priority consideration given to applications received by August 28, 2026. Selected candidates will be invited to participate in an initial conversation, followed by virtual interviews in early/mid September. Finalist interviews are anticipated to take place the week of September 21, 2026, with the goal of extending an offer in late September.

This timeline is subject to change based on candidate and interviewer availability.

RESPONSIBILITIES

Development Operations

  • Process and record charitable gifts, pledges, grants, and other contributions accurately and in a timely manner.

REQUIREMENTS

  • 2+ years of relevant experience in development, fundraising operations, nonprofit administration, database management, project coordinator or a related field
  • Strong organizational and project coordination skills, including the ability to track moving pieces, manage multiple deadlines, follow up with stakeholders, maintain accurate records, and follow through on details.
  • Experience working with a donor database, customer relationship management system, or comparable data-management platform. Salesforce experience highly desirable.
  • Strong attention to detail and a commitment to data accuracy.
  • Strong written and verbal communication skills.
  • Ability to prepare clear reports, lists, summaries, and tracking documents.
  • Ability to handle sensitive donor, financial, and organizational information with discretion.
  • Strong interpersonal skills and the ability to work collaboratively across teams.
  • Ability to work independently, take initiative, ask questions, and identify when guidance is needed.

SALARY RANGE

  • $56,000-$58,000 per year
