Job summary

The University of Houston is seeking a Development Associate Events to support Houston Public Media's donor engagement, stewardship, events, and communications. The role coordinates invited guests, registrations, vendor coordination, and onsite event support.

Ideal candidate is highly organized, detail-oriented, able to manage multiple projects with deadlines, communicates clearly, and works with donors, volunteers, and colleagues. Evening and weekend work is occasionally required.

Responsibilities

Job description

Department: Houston Public Media Salary: $49,400.00 - $63,000.00

Description: Participates in the development and implementation of advancement programs (annual funds, major gifts, alumni relations, special events, stewardship, public relations, etc.); plans and executes related activities and administrative functions; provides technical knowledge and experience in basic fundraising principles and advancement activities.

  • Assists development leadership in developing and implementing alumni and donor engagement strategies, donor identification and cultivation, and major gift prospect research.
  • Directly coordinates with donors, faculty, and advancement staff to facilitate acceptance of gifts in kind, gift transmittals, gift agreements, and naming opportunities.
  • Works with the Office of Annual Giving to develop annual fund solicitations.
  • Develops and prepares acknowledgements, newsletters, brochures, press releases, reports, correspondence, and informational and solicitation materials for various advancement activities.
  • Supports the efforts of the development office to coordinate advisory board meetings, fundraising events, and activities to recruit volunteers, build relations with alumni, and maintain good will with various constituent groups.
  • Provides guidance and supervision as needed to student organizations and other volunteer student organizations involved in fund-raising and other advancement activities.
  • Executes various administrative functions such as preparing and monitoring budgets.
  • Performs other job-related duties as assigned.

Education: Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4 year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed.

Additional Posting Information

The Development Associate Events supports Houston Public Media's donor engagement, stewardship, events, and communications efforts as a member of the Strategic Advancement team. This position provides coordination and administrative support for donor and community engagement initiatives while helping ensure a consistent and positive experience for HPM supporters.

Additional Responsibilities Include
  • Coordinates assigned donor engagement events and smaller-scale programs, including invitations, registration and RSVP tracking, guest communications, event materials, vendor and internal coordination, and onsite setup and support.
  • Supports the Special Events Director in the planning and execution of larger signature events, donor receptions, community engagement programs, and other Houston Public Media events.
  • Develops and coordinates donor-facing event communications, including invitations, registration pages, confirmations, reminders, event updates, and post-event follow-up.
  • Supports recurring donor stewardship and engagement communications, including digital communications, donor recognition initiatives, newsletters, templates, and other materials designed to strengthen relationships with HPM supporters.
  • Maintains event records and tracking tools, including guest lists, attendance, expenses, event documentation, and donor engagement activity in applicable databases and systems.
  • Assists with post-event reporting and evaluation by compiling attendance, expenses, engagement information, and other event metrics to help assess results and inform future planning.
  • Coordinates event-related materials and resources for board members, committees, volunteers, and internal stakeholders, including event briefings, talking points, and "Know Before You Go" materials.
  • Collaborates with colleagues across Strategic Advancement and Houston Public Media to coordinate event logistics, communications, creative materials, donor recognition, and other engagement initiatives.
  • Provides administrative and project support to the Special Events Director and Chief Development Officer, including donor and event updates in the department's constituent relationship management system and other assignments that support Strategic Advancement priorities.

The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple projects and deadlines simultaneously. The position requires strong written and verbal communication skills, excellent customer service, sound judgment, and the ability to work collaboratively with donors, volunteers, vendors, and colleagues across the organization. Occasional evening and weekend work is required in support of events.
