Job description

The role of Development Assistant provides part‑time administrative support to the Development Department. The position is responsible for processing donor acknowledgements, maintaining database accuracy, preparing correspondence and mailings, responding to general email inquiries and providing general administrative support to the Development team. The position periodically assists with events and does not have fundraising or donor solicitation responsibilities.

Essential Duties and Responsibilities
  • Donor acknowledgement processing including preparing, printing, and mailing correspondence
  • Database data entry and quality control
  • General Administrative support for the Development Department
  • Special mailings & email communications
  • Responds to email inquiries
  • Periodically assists with events
  • Occasional interaction with residents, staff, volunteers and the public with courtesy and respect
  • All other duties as assigned
Resident, Guest and Internal Customer Focus

The Development Assistant is sensitive to emotional, spiritual and practical needs of residents, families, guests and staff members in all interactions. Provides positive feedback and comments about the quality of work and effort that have been offered by residents, families and coworkers. Adjusts priorities and schedules to meet specific customer needs. Reports and/or corrects problems related to safety, cleanliness and comfort of residents and work areas. Universal Precautions and Infection Control techniques are followed. Understands own role facility safety plans and procedures related to fire, weather and other disasters is demonstrated. Always strives to ensure best possible outcome for each resident.

Education and/or Experience
  • Ability to pass a Level II Background Screening
  • Experience working in an administrative support role
  • Excellent communication, interpersonal and customer relations skills
  • Flexible, organized and able to multi‑task and handle shifting priorities
  • Expertise with Microsoft Office, including Outlook, Word, Excel, and PowerPoint
  • Proficient experience working with a relational database preferred
  • Ability to maintain professional demeanor and relationships
  • Self‑motivated with strong work ethic, and the ability to work independently in a fast‑paced environment
  • Detail‑oriented and able to manage information accurately
  • Ability to maintain confidentiality.
Physical/Mental Demands and Working Conditions
  • Experience working effectively on a team
  • Able to establish cooperative working relationships with residents, staff, volunteers, donors and community partners
  • Ability to work during standard business hours (Monday - Friday); some evenings, Saturdays or Sundays if needed
  • Subject to passing a drug screen and background checkTransportation and valid Florida driver’s license
  • Able to lift up to 30 lbs
  • Able to work in a fast‑paced, multi‑tasked environment.
