Job summary

University of Maryland Medical System is seeking an Events Coordinator to plan, coordinate, and execute fundraising and internal events, manage committees, volunteers, sponsors, and vendors.

The role also involves managing budgets, using event platforms, creating timelines, coordinating marketing and donor recognition, and collaborating with the foundation team. A Bachelor’s degree in Event Management or a related field and at least 3 years of experience are required.

Qualifications

  • Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, Nonprofit Management, or a related field OR equivalent combination of education and relevant experience.
  • Three (3) years of previous experience in event planning, coordination, or management.
  • Experience working with vendors, volunteers, and cross-functional teams.
  • Familiarity with event management platforms and/or CRM databases (e.g., Raisers Edge, Cvent, or similar).

Responsibilities

  • Plans, coordinates, and executes events, including fundraising, donor cultivation and stewardship, and internal events.
  • Manages event budgets and ensures cost-effective delivery.
  • Leads event sponsorship and engagement activities with the Foundation team.
  • Coordinates all aspects of event logistics, including committee meetings and volunteer coordination.
  • Coordinates marketing and promotional strategies, including messaging, design, scripts, video content, and social media.
  • Maintains donor recognition through publications, signage, letters, and external media.
  • Manages event platforms and databases for registration, tracking, and reporting.
  • Creates and maintains detailed event planning timelines and deadlines.
  • Negotiates contracts and serves as primary contact for vendors (venue, catering, décor, AV).
  • Performs other duties as assigned.

Job Requirements

Plans, coordinates, and executes events, including but not limited to proprietary fundraising events, donor cultivation and stewardship activities, and assigned internal events. Manages and supports event committees, recruits and oversees event volunteers, and serves as the primary liaison with sponsors and vendors, including venues and décor providers. Develops and manages event budgets and ensuring cost-effective delivery. Maintains event databases and management platforms to support planning, tracking, and reporting activities. Collaborates closely with the foundation team.

  • Partners with the leader to develop event strategies, goals, and success metrics.
  • Develops, manages, and monitors events budgets, ensuring cost-effective execution.
  • Leads event sponsorship & engagement activities, including recruitment, tracking and fulfillment in partnership with the Foundation team.
  • Coordinates all aspects of events logistics, including facilitation of event committee meetings, volunteer recruitment and coordination, and other event-related activities.
  • Coordinates with internal and external stakeholders on event marketing and promotional strategies, including messaging, creative/design, scripts, video content, and social media promotion.
  • Maintains accurate and timely donor recognition process through internal (publications, signage, acknowledgement letters/receipts) and external (media) resources.
  • Manage event platforms and databases to support registration, tracking, and reporting.
  • Creates and maintains detailed event planning timelines; ensures adherence to key milestones and deadlines.
  • Negotiates contracts and serves as the primary point of contact for all event vendors (e.g., venue, catering, décor, AV).
  • Perform all other duties as assigned.
Education & Experience - Required
  • Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, Nonprofit Management, or a related field OR equivalent combination of education and relevant experience.
