Capstone On-Campus Management (COCM) is seeking Desk Assistants for Lumina Communities at Duquesne University in Pittsburgh, PA. The student positions offer up to 20 hours per week, with duties including front-desk tasks, resident support, and basic office functions.

Qualifications

Responsibilities

  • Monitor entryway access and greet residents/visitors; report safety issues.
  • Provide customer service via in-person and electronic channels.
  • Assist residents with mail, sign-in/out, and guest procedures.
  • Know the work order system and assist with guidance to residents.
  • Assist with lockouts and basic office duties as needed.
  • Develop flyers, social media content, andOffice documents as required.
  • Participate in meetings and training; perform other duties as assigned.

Job Title: Desk Assistant (Student Position)

Reports To:Operations Coordinator

Location: Lumina Communities at Duquesne University

Compensation:$11.50 per hour. Position not eligible for benefits. Up to 20 hours per week.

FLSA Status:Student Non-Exempt

Brottier Hall, St. Martin Hall, and McGinley Hall all located on the campus of Duquesne University located in Pittsburgh, PA are managed by Capstone On-Campus Management (COCM)/Lumina Communities. COCM is responsible for all aspects of operational management for Brottier, St. Martin, and McGinley Halls in Lumina Communities. Under the direct supervision of the operations Coordinator, in collaboration with the Assistant Director of Operations, the Desk Assistants are responsible for customer service and administrative functions for the students and prospective students to Brottier, St. Martin, and McGinley Halls.

Essential Duties and Responsibilities

  • Monitor all access to the front entryway of the building; this includes greeting residents/visitors to Brottier, St. Martin, and McGinley Halls reporting safety/security issues to appropriate authorities, and administering sign-in/out procedures for guests and equipment according to university policy.
  • Provide customer service through personal and electronic interaction (e.g. tours, e-mails, instant messaging, phone calls)
  • Act as a referral agent for students; be knowledgeable about campus resources.
  • Knowledgeable about work order system and provide guidance to residents.
  • Assist residents with lockouts.
  • Sort, forward, and record mail and packagesfor residents and staff.
  • Assist with mail key/box audits.
  • Develop fliers, social media content, spreadsheets, and documents as determined by Office staff.
  • Assists with general organization of desk areas, study lounge, kitchenette, and patios.
  • Review emergency protocols for building on a regular basis.
  • Attending all required meetings and training.
  • Other duties as assigned.

Time Commitment

Desk assistants can work up to 20 hours per week in part-time student work. Office hours are Monday–Friday 8:30 am-4:30 pm. Student desk hours will include evening and weekend hours between 8:00 am – 12:00 am. In addition, work will be available during academic breaks and nights/weekends. Desk assistants may need to return early or leave late from breaks in order to complete training.

  • Obtain high school diploma or general education degree (GED).
  • Current student at a post-secondary institution at Duquesne University or other post-secondary institution
  • Ability to read and comprehend simple instructions, short correspondence, and write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to apply common sense understanding to carry out instructions. Ability to deal with problems involving several concrete variables in standardized situations.
  • Have knowledge and ability operate Microsoft Word, Excel, and Outlook.
  • Ability to operate basic office equipment including photocopier, fax, and telephone. Basic typing and filing skills.
  • Preference will be given to current Duquesne University students and/or residents of Brottier, St. Martin, and McGinley Halls.
