Job summary

CCMC is seeking a Design Review / Community Standards Coordinator to serve as a liaison between homeowners and the Design Review Board. This part-time, remote position requires one on-site visit per week within the Phoenix metro area and availability during MST business hours.

Design Review / Community Standards Coordinator

About the Community:

This vibrant master-planned community featuring more than 1,300 single-family homes. Residents enjoy scenic trails, tranquil lakes and streams, thoughtfully designed parks, playgrounds, splash pads, sports courts, and catch-and-release fishing—creating an inviting lifestyle for all ages.

The Design Review / Community Standards Coordinator serves as a liaison between homeowners and the Design Review Board. They are also responsible for upholding aesthetic standards in the community. This position will be the first point of contact for the community, which entails both implementing and enforcing the CC&Rs. They will maintain a high degree of customer service in all resident inquiries and interactions; answer phone calls and emails and provide general information of HOA governing documents and violations.

This is a part-time, remote position, typically requiring 20-25 hours per week. Candidates may work from anywhere within the Phoenix metro area and must be available during Mountain Standard Time (MST) business hours. While much of the work is performed remotely, the role requires one on-site visit per week. Candidates should be located within a reasonable driving distance of the assigned community.

What you’ll accomplish:

  • Greet all homeowners upon entry and answer questions as needed
  • Answer phone calls, respond to emails and other correspondence in a timely manner
  • Creating, updating, and maintaining reports as needed
  • Coordinate violation reporting and tracking process, including verification, notification, file maintenance, and follow-up
  • Provides confidential administrative support to the Architectural and Community Standards Board and acts as a liaison between homeowners and Design Review Board
  • Implement covenant enforcement and design review application process
  • Review and submit architectural design review applications
  • Prepare hearing outcome letters and send them to unit owners / residents
  • Inspect completion of design review approvals
  • Assist homeowners with understanding the Architectural guidelines and requirements and guide them through the submittal process
  • Conduct weekly inspections of residential properties
  • Coordinate violation reporting and tracking process, including verification, notification, file maintenance, and follow-up
  • Issue violations of the deed restrictions with specific reference to property maintenance and aesthetics
  • Document, photograph and record all violations while maintaining accurate records
  • Maintain accurate records of complaints and inspections made and work with homeowners to resolve issues
  • Assists in the creation and adoption of relevant policies based upon state statutes and the Association’s governing documents
  • Supports any landscape group/committee in holding meetings, and communicating with owners and other representatives
  • Assess and prioritize developmental needs to support our team and strategic objectives; participate in all community events as assigned
  • Provide administrative assistance to the Community Manager and other team members, and perform other duties as assigned

What we’re looking for:

  • The ideal candidate will possess strong interpersonal skills, a positive customer service attitude and tactful manner
  • Ability to multi-task and work well under pressure
  • This position may require participation in evening meetings or weekend events as deemed necessary
  • Preferably, this applicant will have had experience in homeowner association operations, and or customer service
  • Professional and adaptable, demonstrate good time management and organizational skills and have demonstrated an ability to maintain the confidentiality of business matters
  • Self-motivated, dependable, organized, and efficient with excellent problem-solving skills
  • Computer skills that include a strong working knowledge of MS Office programs such as Outlook, Word and Excel
  • Able to communicate effectively orally and in writing, and have high attention to detail
  • Have excellent telephone manner, with a commitment to the highest customer service possible
  • Candidates must be able to sit or stand for extended periods and attend and community events as required
  • Must have a valid driver’s license in the state of employment and have reliable means of transportation as a personal vehicle will be required to perform certain responsibilities
  • Must be available to work a flexible schedule to meet the needs of the site as determined by the Community Manager, including possible evenings and weekends
  • Must pass a pre-employment drug screen and background check

The physical requirements can vary, but generally, they may include:

  • Mobility: Ability to walk the grounds long distances in various weather conditions.
  • Lifting and Carrying: Occasionally lifting and carrying supplies or equipment up to 25 pounds.
  • Extended Sitting or Standing: Capability to sit or stand for extended periods during meetings or events.
  • Manual Dexterity: Skills in using technology, including computers and mobile devices.

If driving is, or becomes, a requirement of the role, it is required, at all times, that you hold a valid state driver’s license for the class of vehicle you are driving, maintain a clean motor vehicle report, and hold current automobile insurance at statutory limits. You must notify Human Resources immediately regarding any change to your motor vehicle standing. CCMC may periodically review motor vehicle reports to ensure compliance with these requirements.
