This role supports a fast-paced creative team responsible for developing consumer-focused products and experiences across a diverse retail portfolio. The ideal candidate thrives in a collaborative design environment, enjoys managing multiple priorities simultaneously, and has a strong eye for detail. This position plays a critical role in maintaining design systems, project information, sample management processes, and presentation readiness throughout the product development lifecycle.
Job Description
As a Design Operations Coordinator, you will provide day-to-day operational and administrative support to the Design team, helping ensure projects remain organized, accurate, and on schedule. You will work closely with designers and cross-functional partners to manage project information, maintain design documentation, organize samples, and support team workflow processes.
Key Responsibilities
- Provide operational support to the Design team, ensuring projects, systems, and documentation remain organized and up to date.
- Independently manage multiple assignments while prioritizing competing deadlines in a fast-paced environment.
- Maintain accurate design and product information within PLM systems and other business applications.
- Monitor project details, imagery, supporting documentation, and product information to ensure ongoing accuracy.
- Identify missing, outdated, or incomplete information and collaborate with stakeholders to resolve discrepancies.
- Utilize Miro and other collaboration tools to organize project information and support design workflows.
- Organize, track, photograph, and document physical samples throughout the design and development process.
- Upload and maintain current sample imagery and digital assets within design databases and systems.
- Support the preparation, setup, and breakdown of design reviews and presentations.
- Partner with designers to maintain organized project records as concepts and product details evolve.
- Assist with additional design operations initiatives that improve team efficiency and workflow effectiveness.
- Contribute to a collaborative team culture by supporting both creative and operational priorities.
Qualifications
Required Qualifications
- Bachelor's degree or equivalent professional experience in Design, Business, Product Development, Marketing, or a related field.
- Strong organizational and project coordination skills with the ability to manage multiple priorities simultaneously.
- Demonstrated analytical thinking, attention to detail, and problem-solving abilities.
- Ability to work independently while maintaining strong collaboration across teams.
- Experience maintaining accurate data, documentation, and project information in business systems.
- Proficiency with Adobe Creative Suite.
- Experience using Miro or similar collaboration and workflow platforms.
- Proficiency with Microsoft Office Suite, SharePoint, and other enterprise collaboration tools.
- Strong written and verbal communication skills.
- Proven ability to take ownership of responsibilities and consistently follow projects through completion.
- Adaptability and willingness to learn new tools, processes, and business requirements.
- Ability to thrive in a team-oriented environment while supporting multiple stakeholders.
- Experience working with physical samples, product imagery, and digital asset management.
Preferred Qualifications
- Experience with SPARK, PLM systems, or comparable Product Lifecycle Management platforms.
- Knowledge of product development, retail, consumer goods, or design operations processes.
- Familiarity with sample management and presentation preparation within a creative environment.
- Understanding of color analysis, color evaluation, and color matching.
- Previous experience supporting product design, merchandising, or creative teams.
- Leadership experience through professional, academic, or project-based work.
