Qualifications

Responsibilities

  • Process appeals from Justice of the Peace and Municipal Courts to County Courts, and prepare appellate records for cases sent to the Third Court of Appeals.
  • Maintain all criminal, civil, and probate appeal case files and associated documents.
  • Prepare required legal documents (citations, writs, motions, subpoenas, orders, judgments, commitments, abstracts) and retain court orders and notices per statute.
  • Review and process documents submitted through the eFile portal, including new appellate filings, motions, and judicial orders.
  • Assess and record fees, issue receipts, and manage payments according to established procedures.
  • Distribute filed documents to the appropriate court and ensure proper routing for review and approval.
  • Manage exhibits received from Court Reporters, including verification, logging, release, return, and retention.
  • Serve as liaison between County Court at Law Judges, court staff, and other departments regarding appeal-related paperwork and case status.
  • Sort, review, scan, and index documents; verify completeness and accuracy.
  • Review signed orders to determine required Clerk actions and enter case dispositions.
  • Report required information to the Department of Public Safety and send dispositions or other correspondence to appropriate parties.
  • Use computerized systems for data entry, file maintenance, and retrieval of case information.

Job description

Reporting directly to an assigned County Clerk Division Supervisor, responsible for performing specialized clerical work for the County courts system, such as preparing and modifying files, and assisting the public both in-person and by phone, while under general supervision.

  • Prepares and submits appeal cases
  • Provides direct customer service either in person or on the telephone
  • Collects payments for court costs and manages an assigned till
  • Creates and maintains various reports, forms, worksheets, and informational materials
  • Ensures comprehensive filing systems are maintained and up to date
  • Assists in planning and executing special projects and events
  • Assists with policy and procedure updates
  • Utilizes legal reference materials to perform research related to current laws and procedures
  • Copies, files, and audits invoices
  • Enters and verifies data within applicable databases and/or systems
  • Cross-trains with office staff in other areas to ensure continuity of departmental operations
  • Complies with departmental and county-wide policies and procedures
  • Attends all meetings and trainings, as required
  • Performs special duties as assigned

PHYSICAL DEMANDS
  • Position involves prolonged sitting at a workstation, visual examination of documents, reaching, walking, twisting, bending, standing and occasional lifting/carrying
  • Position involves exerting up to twenty (20) pounds of force occasionally and up to ten (10) pounds of force frequently to move objects
  • Position involves operating a variety of machinery and equipment including computers, scanners, calculators, copiers, etc.
ENVIRONMENTAL FACTORS
  • Work is primarily indoors in an air-conditioned environment
IRREGULAR HOURS
  • Work outside of normal office hours (Monday-Friday 8 a.m. to 5 p.m.) may be required on hearing/specialty court/jury trial days
  • May be deemed essential personnel in the event of an emergency
