Job description

The Department Administrator will serve as strategic administrative support to the Department of Pharmaceutical Sciences facilitating and executing the various administrative duties of the Department. The Department Administrator should be a self-directed professional who serves as a strategic partner to the chair performing tasks and responsibilities aimed at maximizing the effectiveness of the chair and operations of the department.

The Department Administrator will be engaged in all aspects of the department including recruitment, budgeting and reporting, student services and supervision.

Specific Duties Include, But Are Not Limited To
  • Provide direct administrative support to the Department Chair including but not limited to assistance with strategic planning, calendar support and coordination of annual faculty review process.
  • Administrative oversight of department operations includes serving as an advisor and confidant to the chair on matters related to department operations.
  • Manage day-to-day operations of the pharmaceutical sciences graduate programs including onboarding, enrollment, tuition remission, appointment, academic monitoring, and coordinating services. General office management includes coordinating and executing day-to-day operations of the department, providing supervision of department staff, and setting up systems that result in clear reporting, consistent and responsible management, with an overall focus on compliance.
  • The Department Administrator works closely with the SPPS Dean's Office, particularly in matters related to resource planning including financial reporting and projections, budget development, personnel and developing and implementing school and university policies and procedures.
  • Provide supervisory oversight to department staff members, work study students, and student assistants.

Successful candidate must be able to collaborate with and support multiple members of a diverse school and university community, participating wherever necessary to ensure smooth and efficient operations, as well as continuously analyzing the work and identifying areas for improvement. They must be able to multitask across strategic project areas, ensure consistent follow-up and follow-through and have excellent communication skills.
