Job Summary
The Dental Treatment Coordinator plays a crucial role in ensuring a seamless experience for patients throughout their dental treatment process. This position requires excellent communication and organizational skills to help schedule appointments, explain treatment options, and manage patient records.
The Treatment Coordinator will work closely with the dentist, office staff and case managers to facilitate the treatment plan and ensure that all aspects of patient care are handled efficiently and professionally.
The ideal candidate understands the importance of a patient-centered care delivery system. They are a self-starter, confident and has excellent execution of tasks. They will have a balance of patient empathy, administrative expertise, and a deep understanding of dental care.
Duties And Responsibilities
- Conveys complex treatment plans in a clear and understandable manner to patients
- Works directly with patients living with HIV who have been referred by a PIHC clinic provider for oral health services. Interactions with patients will be conducted in person, by phone and via electronic communication in the agency’s Electronic Medical Record (EMR) system.
- Maintains records to track external dental specialty referrals and treatment plan completion.
- Collaborates routinely with PIHC staff across departments regarding the status of oral health referrals.
- Works closely with dental providers to ensure the timely completion of dental care from internal and external dental providers. Communicate with patients to schedule appointments, follow up on missed appointments
Patient Advocacy & Support
- Ensure that the patient’s experience is positive, providing support throughout their dental journey.
- Act as a liaison between the patient, dentist, and other departments within the agency. Resolve any conflicts or issues that arise with treatment plans or scheduling
Treatment Plan Coordination
- Collaborate with the dentist to create and communicate treatment plans based on the patient’s needs.
- Helps to schedule appointments for treatments, procedures, and follow-up care with internal and external dental providers.
- Ensure all treatment details, including patient history and notes, are recorded accurately in the system.
- Verify patient insurance information for external partners
Requirements
Knowledge, Skills, and Abilities
- The ability to listen to patient concerns, ensure they are addressed, and relay information accurately to the dental team
- Demonstrates a familiarity with HRSA’s Ryan White HIV/AIDS Program and a willingness to learn about Ryan White dental guidelines.
- Familiarity with common dental treatments and associated insurance processes
- The ability to quickly adapt to new software and technology used in dental offices
- Is self-motivated, enthusiastic, compassionate, and eager to learn
- Is highly organized, detail-oriented and able to execute tasks
- Is able to effectively communicate verbally and in writing with PIHC staff, patients and external dental staff
- Is able to handle multiple tasks simultaneously and prioritize responsibilities based on urgency
Minimum Qualifications
- High school diploma or equivalent (Associate’s or Bachelor’s degree in a healthcare field preferred)
- Proficiency in basic computer skills and at least one year of recent experience with dental practice management software (Dentrix)
- Effective time management skills to maintain an organized and efficient work flow
- Able to work flexible hours, including evenings and weekends if required.
Experience
- Three or more years of recent experience working in a dental office required Knowledge of dental insurance processes required
- Experience working in a public health setting with patients from diverse backgrounds is highly preferred.
- Experience providing patient care coordination.
- Experience utilizing and maintaining spreadsheets to track patient referrals and expenditure
